About the role

We’re hiring a Senior Benefits Coordinator - US to help scale and operationalise Nscale’s US benefits programs during a period of rapid growth and transformation.

Reporting to the Senior Benefits Manager and sitting within the Total Reward team, this role owns the day-to-day delivery and administration of our US benefits offering across the employee lifecycle. You’ll work closely with Payroll, HR Operations, Finance, vendors, and external providers to ensure programs run smoothly, accurately, and compliantly.

What you'll be doing

  • Benefits Operations & Administration
    • Own the day-to-day administration of all US benefits programs.
    • Manage employee enrollments, qualifying life events, terminations, and annual open enrollment with a high level of accuracy.
    • Maintain accurate employee benefits records across HRIS, payroll, and benefits systems.
    • Partner with Payroll, HR Operations, and external vendors to ensure timely deductions, eligibility updates, and data reconciliation.
    • Support process improvements that enhance efficiency, scalability, and employee experience.
  • US Benefits Scaling
    • Partner with the Senior Benefits Manager to support the establishment of an independent benefits structure.
    • Career implementations, systems integration, and operational workflow design.
    • Build scalable processes and documentation to support a growing US employee population.
    • Identify opportunities to automate workflows and reduce manual administration.
  • Employee Experience & Support
    • Act as the primary point of contact for US employee benefits queries.
    • Translate complex benefits information into clear, actionable guidance for employees and managers.
    • Resolve claims, billing, and eligibility issues in partnership with carriers and third-party providers.
    • Support employee education and communication initiatives related to benefits programs and enrollment activities.
  • Leave of Absence Administration
    • Coordinate US leave programs with external leave administrators while maintaining compliance with federal and state regulations.
    • Support employees and managers through leave processes including FMLA, parental leave, disability leave, and state-specific leave programs.
    • Complete leave-related documentation and system updates accurately and efficiently.
  • 401(k) & Financial Benefits Administration
    • Coordinate the day-to-day administration of Nscale’s 401(k) plan.
    • Manage enrollments, beneficiary maintenance, payroll contributions, and vendor coordination.
    • Ensure accurate data flow between benefits platforms, payroll, and providers.
    • Aid in employee communications and education relating to retirement benefits.
  • Compliance, Data & Reporting
    • Support required quarterly, annual, and year-end documentation, reporting, filings, and operational processes.
    • Maintain compliance-related records and employee-facing documentation so they remain accurate and audit-ready.
    • Preserve strong data integrity across HRIS and benefits platforms.
    • Support reporting, audits, and reconciliation activities tied to benefits administration and vendor management.

    KPIs

    • Accurate benefits enrollments, life events, and terminations processing
    • Timely and accurate payroll deductions, eligibility updates, and reconciliations
    • Audit-ready compliance documentation and reporting completion
    • Improved process efficiency and reduced manual benefits administration

    About You

    • Proven experience administering US employee benefits programs
    • Experience in a high-growth technology, scale-up, or fast-paced business environment
    • Experience supporting multi-state US employee populations
    • Experience working with external brokers, carriers, and leave administrators
    • Experience supporting benefits transitions, implementations, or operational process improvements
    • Strong systems and data mindset with experience using HRIS and benefits platforms such as ADP, Workday, UKG, or similar
    • Advanced Excel or Google Sheets skills, including reconciliation and reporting
    • Solid knowledge of US benefits regulations including ACA, COBRA, ERISA, HIPAA, FMLA, PFML, and Section 125
    • Excellent written and verbal communication skills with the ability to simplify complex topics clearly and confidently
    • Strong stakeholder management skills and the ability to build trusted relationships across employees, Payroll, Finance, HR Operations, and external vendors
