Senior Administrative Team Assistant, Impact
This role sits within Impact, which catalyzes collaborative philanthropy for effective giving at scale. We are seeking a proactive and highly organized Senior Administrative Team Assistant to support the Head of Impact and the broader Impact team. The role will provide high-level administrative support to senior leaders and play a key role in ensuring seamless operations across the team, as well as managing and maximizing complex relationships across ICONIQ’s network.
Responsibilities
- Provide high-level administrative support to the Head of Impact, including proactive management of a complex calendar across multiple time zones, meeting preparation, travel coordination, itineraries, and expense reporting.
- Support client, donor, and partner relationships by coordinating engagement, identifying opportunities for thoughtful follow-up, preparing meeting materials and agendas, and helping execute engagement strategies across key relationships.
- Maintain relationship and pipeline information in Salesforce, using reporting and data to support strategic touchpoints, business development, fundraising activity, and timely follow-up.
- Drive email and event invitation campaigns, including recommending recipients based on knowledge of the network, coordinating internal and external outreach, tracking responses and follow-ups, and maintaining accurate information in Salesforce.
- Support the planning and execution of donor events, multi-party meetings, team meetings, offsites, and other special events, partnering closely with administrative teams across the firm.
- Serve as a trusted point of contact for internal and external stakeholders, including managing the general Impact inbox and communicating with warmth, discretion, and professionalism.
- Support team operations and projects, including philanthropic research, vendor agreements, invoices, reimbursements, meeting notes, internal communications, and information sharing.
- Identify and implement opportunities to improve administrative processes and team productivity, anticipating needs and proactively addressing challenges.
Requirements
- 5+ years of experience in an administrative or executive support role.
- Experience supporting senior executives, managing complex schedules across multiple time zones, and coordinating travel logistics.
- Experience communicating across high-stakes and complex relationships and building trust with internal and external stakeholders across varied geographies and cultures.
- Experience supporting sales, business development, fundraising, philanthropy, or another relationship-driven team is a plus.
- Proficiency in Salesforce, including experience maintaining relationship and pipeline data and supporting reporting.
- Exceptional written and verbal communication skills and experience interacting with stakeholders at all levels.
- Familiarity with Slack and Google Suite is preferred.

Pay
A reasonable estimate of the current pay range is $48.08 to $55.29 an hour, overtime eligible; $100,000 - $115,000 annualized, based on a standard 40-hour workweek for 52 weeks.
Schedule
Applicants are expected to work onsite in our New York City office in accordance with our hybrid working policy.
