About the role

The Senior Administrative Coordinator I provides high-level administrative, executive, advancement, compliance, and project support to the Chief of Staff and the Office of the Dean.

Responsibilities

  • Provides high-level administrative support to the Chief of Staff while handling sensitive and confidential information with discretion.
  • Manages complex calendars, including scheduling appointments, coordinating meetings, and arranging travel.
  • Presents correspondence, reports, presentations, and other materials to support executive operations and decision-making.
  • Captures meeting logistics, including agendas, room reservations, virtual meeting support, catering, and meeting minutes.
  • Serves as a primary point of contact for inquiries directed to the Chief of Staff and helps facilitate timely communication and follow-up.
  • Tracks action items, monitors deadlines, and supports implementation of priorities and special projects for the Office of the Dean.
  • Captures visits for guests, visitors, and dignitaries.
  • Processes approvals, prepares reports, and drafts correspondence and other administrative materials.
  • Serves as a collaborative member of the Office of the Dean administrative team and provides backup support for other administrative staff as needed to ensure continuity of operations.
  • Serves as a resource on relevant administrative, business, and travel procedures.
  • Serves as a support for special projects and administrative initiatives that advance operational effectiveness within the Office of the Dean.
  • Serves as a support for Dean’s office events, operational activities, and other office-wide initiatives as assigned.

Requirements

  • Required Education And Experience: Bachelor's degree or an equivalent combination of education and experience. Six (6) years of experience in office administration.
  • Preferred Qualifications: TAMU/S or higher education experience. Experience providing executive administrative support with complex calendars. Experience coordinating multi-step projects, tracking action items, and managing deadlines in a fast-paced environment. Demonstrated experience drafting professional correspondence for external stakeholders (e.g., donors, partners). Strong technology skills, including AI integration, Microsoft Office, and experience with database systems, CRM platforms, or advancement tracking tools. Demonstrated ability to draft high-quality executive communications and briefing materials.

Will be commensurate based on the selected hire’s education and experience.
