Senior Administrative Assistant, Information Research
About the role
The Senior Administrative Assistant, Information Research, provides advanced administrative support to VP level or equivalent, coordinates and maintains departmental files, follows company purchasing procedures, uses intermediate to advanced software skills, supports new employee onboarding, professionally interacts with high-level executives, maintains calendars, and proactively resolves scheduling conflicts.
Responsibilities
- Provides advanced administrative support to VP level or equivalent.
- Maintains executives' emails, prioritizes tasks, and authorizes responses.
- Coordinates and maintains departmental files in compliance with corporate and legal guidelines.
- Fulfills company purchasing procedures.
- Uses Microsoft Office Suite and other business-specific software, including Corporate Travel website.
- Supports new employee office setups and onboarding.
- Interacts professionally with high-level executives.
- Maintains and manages calendars, including meeting and travel scheduling and domestic and international travel arrangements.
- Proactively identifies and resolves scheduling conflicts.
Requirements
- High School diploma or equivalent with minimum 3 years of administrative assistant related experience.
- Experience providing support to a VP level or equivalent.
- Intermediate to advanced knowledge of Microsoft Office Suite, Outlook, Adobe Acrobat, and understanding of business processes and requirements.
- Self-starter with a high level of independence and ability to function without constant supervision.
- Build strong relationships with peers and cross-functionally with partners outside of assigned group.
- Learn quickly and adapt to changing circumstances.
- Professional demeanor and ability to maintain confidentiality.
Qualifications

Pay
$27 - $48.8 USD
Schedule
Primarily site- or office-based but can occasionally be performed remotely. Employees who are site/office-based and can occasionally perform their role virtually work both in the office and remotely, following the policies and regulations in place at their location. US Employees must be in the office on Tuesday, Wednesday, and Thursday with flexibility to work remotely on Mondays and Fridays. Three days in the office is the minimum; some individuals or teams may require more in-office days due to meetings, business/project needs or their role.
