Key Responsibilities
- Provide day-to-day administrative support to designated members of the Executive Leadership Team (ELT).
- Manage calendars, schedule meetings, and coordinate appointments.
- Cook up travel arrangements and logistics, including flights, hotels, and ground transportation, as needed.
- Prepare, reconcile, and submit expense reports.
- Cook up meetings and events, including room reservations, agendas, materials, and logistics.
- Prepare correspondence, reports, presentations, and other business documents.
- Maintain and organize electronic records, cloud-based files, and shared collaboration platforms to support efficient access, document retention, and information security.
- Handle confidential and sensitive information with discretion.
- Utilize sound judgment and decision-making skills to effectively manage significant and time-sensitive matters in support of the Executive Leadership Team (ELT).
- Serve as a primary point of contact for internal departments and external vendors regarding Executive Leadership Team (ELT) initiatives.
- Aid in special projects by coordinating tasks, tracking progress, and following up on action items.
- Conduct research in partnership with the Executive Assistant to support administrative and operational needs, including but not limited to evaluating vendor options, selecting meeting venues, and preparing travel arrangements, etc.
- Identify opportunities to improve administrative processes and increase efficiency in the area of Executive Support.
- Perform other administrative duties as assigned by the Executive Assistant.
Qualifications
- Education: Bachelor’s Degree or equivalent experience required.
- Experience: Minimum 5 years of experience in an administrative support role. Experience supporting multiple priorities in a fast-paced professional environment preferred.
- Skills: Excellent organizational and time management skills, strong verbal and written communication skills, high level of professionalism and discretion when handling confidential information, proficiency in Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams, ability to prioritize multiple tasks and meet deadlines with minimal supervision, strong attention to detail and problem-solving skills, excellent interpersonal and customer service skills, ability to work independently and collaboratively in a team environment, adaptability and a proactive approach to supporting business operations.
Pay Range
$60,000 USD - $70,000 USD
Physical Requirements and Work Conditions
Mobility & Posture: May require occasional sitting, standing, walking, climbing, reaching, bending, or stooping.
Lifting/Carrying: May require lifting and carrying items 50 pounds or more, depending on the role.
Manual Dexterity: Frequent use of hands and fingers for typing, writing, grasping, and operating office or job-specific equipment.
Driving: Some roles may require the ability to operate a motor vehicle for extended periods and maintain a valid driver’s license. Specific requirements may vary by role.
