Description

The City of Round Rock is seeking a detail-driven, proactive, and highly professional Senior Administrative Assistant to support our Finance Department and work directly with the Chief Financial Officer (CFO).

Duties

  • Take on a blend of high-level administrative support, cross-department coordination, and project assistance.
  • Serve as a welcoming and responsive point of contact for internal staff, executive leadership, City Council offices, vendors, and members of the public.
  • Manage phones, email, mail, and web-based inquiries with professionalism and accuracy.
  • Organize and maintain digital and physical documents, including scanning, filing, data entry, and reconciliation to ensure information accuracy.
  • Cover Finance operations by coordinating meetings, trainings, events, travel arrangements, and department calendars.
  • Draft and prepare letters, memos, presentations, reports, forms, and official correspondence.
  • Aid in researching, compiling, analyzing, and preparing finance-related reports and documentation.
  • Submit and track IT and facility work tickets for the department.
  • Prepare documents for City Manager and City Council review and manage items through systems such as Legistar.
  • Serve as a liaison between Finance and other City departments to ensure smooth communication and workflow.
  • Support confidential and specialized projects for the CFO and departmental leadership.
  • Provide guidance and serve as a resource for other administrative staff on department processes.
  • Update webpages and maintain data in online databases as needed.

Qualifications

  • A High School Diploma or equivalent.
  • Four (4) years of clerical or administrative support experience in a professional environment.
  • College credit may substitute on a year-for-year basis.

Preferred Skills

  • Demonstrated proficiency in Microsoft Office tools, including SharePoint, Teams, Word, Excel, and Outlook.
  • Strong attention to detail and accuracy.
  • Excellent customer service and communication skills.
  • Experience supporting executive leadership or working in financial or municipal environments.

Pay

The posted pay range is the starting salary. Pay rate offered is based on experience.
