About the role

The Massachusetts Port Authority is seeking a Senior Administrative Assistant to join the Real Estate and Asset Management (REAM) team. This role plays a critical part in supporting the team's efforts to manage a diverse portfolio of assets, including commercial and maritime properties.

Responsibilities

  • Manage complex calendars and scheduling for leadership and staff, proactively resolving conflicts and ensuring seamless coordination across internal and external stakeholders.
  • Serve as the primary point of contact for communication and logistics, maintaining confidentiality while handling calls, mail, and contract execution processes.
  • Support projects by tracking timelines, updating project management tools, preparing presentations, and maintaining organized documentation and filing systems.
  • Oversee office operations and departmental procedures, including supply management, onboarding/offboarding, compliance coordination, and continuous process improvements.

Requirements

  • Bachelor’s degree or equivalent professional experience.
  • 3–5 years of administrative support experience in a professional office setting.
  • Strong communication, writing, and proofreading skills; proficient in Microsoft Office Suite with ability to manage multiple priorities and meet deadlines.
  • Resourceful, detail-oriented, and skilled in managing multiple priorities and meeting deadlines in a fast-paced environment.
