PBF Energy Inc. (NYSE:PBF) is one of the largest independent refiners in North America, operating oil refineries and related facilities. We are seeking a talented Senior Admin Associate, HSSE to join our team at the Martinez Refinery in California.

About the role

The Senior Admin Associate reports to the HSSE Manager and provides administrative support by maintaining records, tracking compliance requirements, coordinating training, preparing reports, and assisting with regulatory documentation. This role ensures accurate recordkeeping, supports safety initiatives, and serves as a resource for employees and leaders to help maintain compliance with company policies and applicable health and safety regulations.

Responsibilities

  • Administrative duties for Environmental, Process Safety, Occupational Safety, and Emergency Response Departments.
  • Track regulatory deadlines and ensure compliance reports, correspondence, regulatory fees, and penalties are met.
  • Check request submittal and tracking.
  • Manage all credit card purchases for lunch meals, safety awards, supplies, etc., and maintain a list of all charges for the contractor safety coordinator.
  • Maintain regulatory files and documents.
  • Develop and track budgets using SAP, ensuring invoices and fees are properly coded.
  • Schedule meetings and conference room bookings.
  • Complete visitor requests and coordinate arrangements for visitors, including preparing agendas, printing/scanning documents, organizing site access, greeting, and escorting visitors.
  • Organize events such as the Emergency Response Team (ERT) banquette and Health, Safety & Environmental (HSE) training, including securing locations, room setup, meals, and cleanup.
  • Order, organize, and manage department office supplies and materials.
  • Provide EOC support during emergencies both while on shift and on call.
  • Provide backup support for other MRC admins.

Requirements

  • Minimum five (5) years of experience in an administrative support role.
  • High school diploma or equivalent.
  • Proven IT skills and working knowledge of MS Office (Word, PowerPoint, Excel, and Outlook).
  • Ability to multitask, prioritize, and plan to meet tight deadlines.
  • Excellent organization, communication, and ability to maintain effective working relationships.
  • Possess a valid Driver’s License.
  • Must have an active TWIC card or be able to obtain one (https://www.tsa.gov/for-industry/twic).

Pay

The salary range for this position is $28.26 - $47.43 an hour. Factors such as scope and responsibilities of the position, candidate’s work experience, education/training, job-related skills, and internal peer equity will be considered in determining the selected candidate’s compensation.
