About the position

Reinvestment Fund is seeking a Senior Grant Accountant to support day-to-day financial administration of a portfolio of grants, contracts, and project-based agreements. Reporting to the Accounting Manager, this role handles grant revenue recognition, contract billing and invoicing, accounts receivable, month-end close entries, account reconciliations, and project setup and maintenance within the ERP system. The Senior Grant Accountant works closely with program managers to support project financial activity and serves as a key contributor to the monthly close process. This is a great opportunity for an individual with a strong aptitude for working with large volumes of data, a logical and detail-oriented approach to problem solving, and comfort navigating multiple systems and data sources within a mission-driven organization.

Responsibilities

  • Month-End Close & Account Reconciliations
    • Prepare and post month-end journal entries related to project accounting, including revenue recognition, time and effort costs, indirect costs, and restricted interest.
    • Reconcile assigned accounts monthly, including accounts receivable, deferred revenue, and other project-related accounts, investigating and resolving variances on a timely basis.
    • Complete assigned close tasks within established deadlines.
  • Contract Billing & Accounts Receivable
    • Build and process invoices for cost-reimbursable contracts, fixed-fee agreements, and other billing arrangements in the ERP system in accordance with contract terms and billing schedules.
    • Communicate with program managers as needed to support timely and accurate invoice preparation.
    • Record customer deposits and customer deposit applications.
    • Maintain accounts receivable aging.
  • Project Setup & ERP Administration
    • Create new projects in the ERP system, including customer setup, task structure, budget layout, billing rules, and revenue configuration.
    • Maintain project records throughout the project lifecycle, including processing budget revisions, period extensions, funding modifications, and project closeout activities.
    • Configure and update project billing schedules and invoicing parameters as contract terms evolve.
  • Grant Administration & Funder Reporting
    • Review and approve grant-related disbursements in the ERP system, ensuring proper coding to applicable awards and cost categories.
    • Collaborate with program managers on project financial matters to ensure accurate and timely recording of project activity.
    • Prepare required financial reports to grant funders in accordance with established reporting schedules and award terms.
    • Respond to ad-hoc financial data requests from program managers and Finance leadership, providing transaction detail, budget-to-actual summaries, and project-level financial information as needed.
    • Assist in compiling supporting schedules and transaction detail for annual audit fieldwork.

Education, Experience and Skills

  • Bachelor’s degree in Accounting, Finance, or a closely related field required.
  • Minimum of 3–5 years of progressively responsible experience in accounting, with a focus on project accounting, grant accounting, or a similar data-intensive accounting function.
  • Solid understanding of core accounting principles, including revenue recognition, accounts receivable, deferred revenue, and billing structures.
  • Strong analytical and data management skills, with the ability to work through large volumes of financial data, identify patterns, and resolve discrepancies with precision.
  • Demonstrated comfort working across multiple systems and data sources; ability to learn new tools quickly and adapt to evolving technology.
  • Advanced proficiency in Microsoft Excel, including pivot tables, VLOOKUP/XLOOKUP, and data reconciliation techniques.
  • Ability to manage multiple concurrent deadlines in a fast-paced environment, including recurring close and reporting cycles.
  • Effective written and verbal communication skills; ability to work collaboratively with program staff, management, and external contacts.
  • Demonstrated ability to follow established procedures, maintain organized documentation, and proactively escalate issues.
