About the role

The Self-Directed Hiring Technician provides an exceptional new hire experience for Lifeworks employees by managing all aspects of the onboarding, maintenance, and offboarding processes for fiscal staff. This role oversees the distribution of hiring events, ensures completion of all required documentation, and supports new hires through each stage of the onboarding process. Serving as the first point of contact for Lifeworks employees, this position requires strong communication skills and a commitment to guiding new employees smoothly through their onboarding journey.

Hours: Full-time; 40 hours/week, Monday – Friday (non-exempt)
Location: Lifeworks Services – Richfield, MN (Hybrid)

Responsibilities

  • Coordinate and execute all onboarding process steps for fiscal employees in a timely and accurate manner, including employment applications, DHS background studies, E-Verify, UMPI requests, and other related tasks.
  • Ensure all data is entered or updated into appropriate systems (CRM, Cashe, Pavillio, SL, Outlook, and external systems).
  • Complete all termination process steps for terminated fiscal employees, ensuring all data is properly documented and filed, termination checklists are completed, and access is removed from appropriate systems.
  • Collaborate with program leaders, staff, and counterparts in other programs/regions to define, own performance of, and continuously improve procedures and processes, delivering or exceeding performance related to accuracy, timeliness, cost, and both internal and external customer satisfaction.
  • Provide excellent customer service to external and internal stakeholders to resolve issues or satisfy information requests, facilitated either in-person, virtually, through email, or by telephone.
  • Respond to a high volume of phone calls, emails, and inquiries with a strong sense of urgency, promptly resolving customer issues, addressing concerns, and providing accurate information while maintaining exceptional customer service standards.
  • Maintain, audit, and protect confidential information according to HIPAA and internal compliance standards. Ensure adherence to state and federal employment regulations that cover processing work.
  • Plan, manage, and execute manual and automated workflows for all Lifeworks service lines. Regularly update databases to ensure consistency, accuracy, and timeliness in data sources and the processes dependent upon them.
  • Follow safety procedures and assist in identifying safety needs for self and others.
  • Perform other duties as assigned.
  • Must pass a background study with the Department of Human Services, a drug test, maintain a clean driving record, and have reliable transportation for work driving purposes (e.g., in-office, on-site training locations, etc.).

Requirements

  • High school diploma required.
  • Experience in Human Resources or related field preferred.
  • Fluent in English, verbal and written.
  • Bi/Multi-lingual preferred.
  • Proficiency in Microsoft Office Suite.
