About the role
Provides support and performs a variety of secretarial/administrative tasks for department directors and Wellness and Empower Staff. Assumes responsibility for accurately gathering pertinent information and registering clinical patients.
Responsibilities
- Consistently exemplifies “on-stage” behavior; displays a high level of organization and is capable of effective and efficient multi-tasking.
- Greets and checks in Clinical Patients; provides information and assistance as needed in person and by phone; refers individuals to appropriate personnel.
- Schedules Clinical evaluations, follow-up appointments, and other patient/client appointments; obtains all necessary information needed for proper registration and billing.
- Accurately registers Clinical patients; focuses on customer relations and promoting good will between patients, physicians, hospital and clinical staff.
- Assists patients and participants with completion of required paperwork; ensures accuracy and completeness of paperwork and enters persons into EPIC documentation.
- When directed, contacts insurance companies regarding extensions and continuations of clinical services.
- Meets privately with patients and answers questions regarding covered benefits and out-of-pocket expenses.
- When directed, collects and records patient co-pays.
- Uses working knowledge of diagnosis codes and treatment codes to obtain proper authorizations.
- Informs clinical staff of covered and non-covered services, limitations of benefits, and situations regarding out-of-pocket costs for patients; communicates appropriate standards for patient’s allowable visits, time frames, and how to minimize mistakes with reimbursement.
- Types letters, correspondence, forms, reports, and other documents; compiles and maintains department statistics and generates related reports.
- Performs other clerical tasks such as copying and filing.
- When requested, establishes and maintains departmental records and files.
- Orders department supplies as needed.
- Opens, maintains orderly appearance and experience-based atmosphere within the waiting room, and closes the department.
- Attends staff meetings and in-services as assigned; records meeting minutes as directed.
- Supports and serves as a role model for the organization’s mission, vision, values, and customer service initiatives; adheres to policies, procedures, and compliance guidelines.
- Performs other duties as assigned.
Requirements
- High school diploma or GED.
- Knowledge and understanding of therapy services and outpatient registration functions.
- Knowledge of regulatory standards and hospital policies related to patient registration, including HIPAA confidentiality and JCAHO mandates.
- Knowledge of medical terminology is desirable.
- Typing and computer skills necessary for creating and compiling various departmental records and documents.
- Interpersonal skills to provide courteous and accurate information, on the phone and in person, to hospital personnel, physicians, patients, families, and insurance company representatives.
- Organizational skills to prioritize workflow and maintain patient records and files.
- Mental ability to work on tasks requiring accuracy and attention to detail, adapt and respond to multiple priorities and demands, and deal with the concerns of patients and their families.
- Physical ability to properly operate required office equipment and occasionally assist in transporting wheelchair-bound patients to a room.
