Scheduling Specialist
About the role
The Scheduling Specialist at WelbeHealth plays a critical role in supporting a growing, mission-driven healthcare organization. This role ensures that vulnerable seniors feel supported and have access to high-quality care by effectively coordinating participant care scheduling.
Responsibilities
- Coordinate participant care scheduling, including maintaining accurate team member availability for participant appointments.
- Manage cancellations and rescheduling requests, responding to calls and in-person participant needs.
- Notify participants regarding future appointments and conduct other administrative tasks as needed.
- Communicate appointment confirmations and reminders as outlined by department protocols, updating appointments as appropriate.
- Effectively coordinate the scheduling of participant appointments.
- Assist with troubleshooting conflicts and urgent needs, communicating with all stakeholders (staff, families, providers, etc.) to meet appointment turn-around times.
- Address cancellation and rescheduling requests from both staff members and participants, ensuring changes are appropriately managed and promptly communicated to all parties.
- Maintain and update team member availability in source systems to ensure accurate information is reflected at all times.
Requirements
- High school diploma or equivalency required.
- Minimum of one (1) year of healthcare experience required; PACE experience preferred.
- Minimum of one (1) year of experience with Electronic Medical Records (EMR).
- Outstanding customer service orientation, especially in telephone and written communications.
- Excellent organizational and communication skills.
