Responsibilities

  • Provide administrative support to project managers and field supervisors for security projects.
  • Prepare and manage project documentation, including contracts, submittals, RFIs, and closeout packages.
  • Maintain and update project files and documentation logs.
  • Track project schedules and deadlines, ensuring all documentation is submitted on time.
  • Coordinate and communicate with vendors, subcontractors, and clients regarding project status and documentation.
  • Assist in preparing Direct Owner Purchase billing and invoicing documentation.
  • Help ensure compliance with local, state, and federal regulations and company safety policies.
  • Organize and schedule project meetings, prepare agendas, and take meeting minutes as needed.
  • Generate work orders.
  • Invoice service tickets.
  • Assist with permitting for several municipalities.

Requirements

  • 3+ years of experience in a construction or security contracting environment, ideally in a project administrative role.
  • Strong knowledge of construction documentation and processes.
  • Proficiency in MS Office Suite (Word, Excel, Outlook) and project management software (e.g., Autodesk (ACC Build), Viewpoint, Bluebeam).
  • AutoCAD experience a plus.
  • Excellent organizational and time management skills.
  • Ability to multitask and work in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Familiarity with security systems or terminology is a plus.
  • Strong interpersonal and collaboration skills.

Working Conditions
