Responsibilities

  • Update and maintain real-time project schedules, task lists, milestone trackers, and action item logs across multiple security workstreams using designated project management software (e.g., Asana).
  • Track cross-functional project dependencies, monitor progress timelines, and maintain team RAID logs (Risks, Assumptions, Issues, Dependencies) to proactively flag at-risk milestones to the Project Manager.
  • Update project dashboards and reporting tools with current operational data, leveraging project management software and basic data visualization tools to provide ongoing visibility into pipeline health.
  • Monitor outstanding project deliverables and follow up with tactical stakeholders to ensure project tasks are completed within agreed-upon timelines.
  • Coordinate schedules and logistics for project meetings, working group sessions, and project milestone reviews under the direction of team leadership.
  • Prepare detailed meeting agendas, capture clear meeting minutes, and document critical action items (AIs) and decision logs for timely distribution to project stakeholders.
  • Provide administrative support for the team’s centralized intake pipeline, assisting with the initial organization of incoming project requests.
  • Maintain project documentation, change records, and deviation reports in organized, controlled, and easily accessible enterprise repositories (e.g., Google Workspace, team portals).
  • Ensure ongoing project artifacts, meeting minutes, and compliance deliverables are continuously validated, complete, and structured to satisfy internal and external regulatory audit requirements.
  • Assist in collecting, compiling, and organizing raw project metrics and performance data to support the preparation of Monthly Readouts and Quarterly Business Reviews (QBRs).
  • Provide formatting and compilation support for project briefings, slide decks, and status reports to ensure alignment with organizational standards and branding parameters.

Requirements

  • 3–5 years of professional experience in project coordination or administrative project support roles, preferably within corporate security, operations, or highly matrixed technology environments.
  • Demonstrated proficiency with enterprise project management tracking systems (e.g., Asana, Smartsheet, Jira) and collaboration suites (e.g., Google Workspace, MS Office).
  • Proven track record of successfully maintaining complex project schedules, logging task updates, and tracking cross-functional project dependencies to preserve milestone velocity.
  • Strong experience orchestrating meeting logistics, developing structured agendas, and rapidly capturing high-quality, actionable meeting minutes and RAID log items.
  • Capability to organize raw data, track performance metrics, and consistently update status-reporting frameworks or progress dashboards.
  • Experience working successfully within a managed service, consulting, or staff augmentation model.
  • Associate’s or Bachelor’s degree in Business Administration, Project Management, or a related field, or equivalent practical experience.

Preferred Qualifications

  • CAPM (Certified Associate in Project Management) certification or completed academic coursework in formal project management methodologies (Agile, Waterfall).
  • Foundational familiarity with corporate security concepts, governance terminology, or compliance workflows.
  • Practical exposure to data visualization or dashboard maintenance tools (e.g., Tableau, Power BI, Looker Studio/Google Data Studio).

Pay

Estimated pay range for this position is USD $65,000/Yr. - USD $75,000/Yr. This is an exempt role. Exact compensation will be determined based on job-related knowledge, skills, experience, licenses or certifications, and location.
