Reports to: Principal

About the Role

Assures the smooth and efficient operation of the assigned office in a friendly and professional manner. Receives the public, operates the telephone system, serves as a key communicator and coordinator relating to essential operation of the office, and performs other clerical duties as needed.

Requirements

  • High School Diploma or equivalent; formal training in office practices and experience preferred.
  • Proficiency in written and oral communication skills.
  • Ability to operate office machinery and manage multiple tasks.
  • Computer competence, including typing and proofreading skills.
  • Pleasant personality, cooperative attitude, and physical skills and stamina to perform essential duties.

Responsibilities

  • Maintains a pattern of prompt and regular attendance.
  • Ensures primary workstation and responsibilities are covered at all times during the working day.
  • Demonstrates knowledge and proficiency in:
    • Typing and word processing skills.
    • Spreadsheet applications.
    • Database applications.
    • Internet and email use.
    • Other computer applications as applicable.
    • Office machinery.
  • Develops, revises, and produces documents, reports, forms, and materials.
  • Maintains and manages files, records, office supplies, materials, and equipment.
  • Demonstrates appropriate verbal, written, and telephone communication skills.
  • Drafts written correspondence and answers correspondence on behalf of the supervisor.
  • Demonstrates accurate and consistent proofreading skills.
  • Receives and returns telephone calls on behalf of the supervisor using high standards of telephone techniques.
  • Greets visitors courteously and professionally; handles routine office business.
  • Acts professionally, adheres to cultural diversity guidelines, and exhibits good public/customer service.
  • Complies with school, system, state, and federal regulations and policies, including the PSC Code of Ethics.
  • Maintains confidentiality of sensitive information and adheres to the chain of command.
  • Maintains a professional appearance.
  • Improves knowledge and skills to promote office proficiency; participates in workshops and staff development.
  • Shows initiative and assumes responsibility for job duties with minimal supervision.
  • Exhibits time on task and a flexible, cooperative, and hardworking attitude.
  • Limits personal business and phone calls during work hours.
  • Enhances building climate and colleague morale; demonstrates loyalty to the school system and administration.
  • Answers telephone, directs calls, and provides information.
  • Manages and oversees the maintenance of the phone system, including greeting messages, user management, and repairs.
  • Manages attendance protocol.
  • Files and maintains discipline forms and paddle permits.
  • Maintains and dispenses student medications with signed authorization.
  • Provides for supplies, maintenance, and use of office machines.
  • Arranges mail/package pickup and dissemination.
  • Prepares and processes purchase orders and work orders.
  • Assists in maintaining daily attendance logs for teachers, substitutes, and other employees.
  • Seeks and maintains training in the Student Information System.
  • Maintains payroll records, including leave forms and teacher attendance books; calls substitutes.
  • Serves as backup bookkeeper.
  • Acts as liaison to the central office for insurance matters and workers' compensation claims.
  • Directs callers and visitors to appropriate personnel and provides general information.
  • Performs all other duties assigned by the supervisor.

Pay

CCSS Classified Salary Schedule – FY 27, Class A08 (Start pay $15.02 - max pay $22.71). Steps awarded with verifiable experience. Yearly salary is calculated by multiplying the hourly pay rate by 210 scheduled work days, then dividing by 12 months. This position is eligible for Teacher's Retirement.

Schedule

210 scheduled work days per year (prorated if not starting at the beginning of the school year).
