About the role
Positions in this job family are assigned responsibilities for performing confidential secretarial duties for an agency official or administrator.
Responsibilities
- Open, scan or read and distribute mail; compose official correspondence for supervisor’s signature; dispose of routine correspondence
- Screen telephone calls; provide information or refer callers to appropriate staff members; answer inquiries
- Receive visitors; answer inquiries personally or refer to appropriate official
- Arrange for special conferences and meetings; maintain supervisor’s calendar, advising of commitments; arrange for travel itinerary and accommodations; prepare and submit travel claims and expense account
- Independently research, assemble and summarize material, information and data for administrative board or commission consideration and action
- Take and transcribe dictation of confidential, technical or legal material requiring a high degree of accuracy; record and transcribe proceedings of meetings and conferences
- Appear before legislative committee hearings either alone or in the company of supervisor to present facts relative to agency programs, mission and/or budget; draft proposed legislation; propose budget items
- Confer with administrators on matters of staffing, budget and purchasing and contracts and/or policy
- Supervise administrative or clerical assistants
Requirements
- Three years of clerical office work; or an equivalent combination of education and experience
Knowledge, Skills, and Abilities
- Knowledge of the procedures and techniques of business communications; of spelling, punctuation, and business English; of office methods; of computer operations; of business arithmetic; and of public relations
- Skill to type accurately from a plain copy at a rate of forty words per minute
- Ability to handle confidential work with tact and discretion; to exercise judgment in interpreting and applying rules or policy; and to establish and maintain working relationships with others
Compensation
$36.93–$48.81 per hour; this salary is non‑negotiable.
Schedule
Full‑time, regular position at the Bill Johnson Correctional Center. This is an on‑site role; remote work is not eligible.
