Secretary II

Support undergraduate and graduate academic affairs, operations, and finance functions within the department. Assist the Undergraduate Program Director, STT academic advisor, Associate Chair, and Graduate Academic Program Coordinator.

Responsibilities

  • Provide student assistance: monitor enrollment, review/process overrides, conduct prerequisite checks, manage textbook inventory and distribution, and assist with class schedule work copy and classroom scheduling.
  • Support the Student Learning Center by processing student employee hires and creating name badges.
  • Provide front office support: manage telephones, mail, and counter assistance.
  • Assist faculty with collecting, posting, and filing syllabi and exams; handle copying and scanning tasks.
  • Coordinate travel arrangements for colloquium and visitors.
  • Manage keys inventory and distribution, textbook inventory and distribution, directory updates, supplies inventory and orders, and process maintenance requests.
  • Provide finance support: process visitor travel reimbursements and various EBS documents (disbursement vouchers, vendor processing, cash deposits, requisitions, purchase orders, etc.). Enter student employee payroll.
  • Support graduate programs: add TAs to their recitations in SIS, assist with front desk help for TAs, and coordinate TA keys once assignments are made. Serve as backup to the Graduate Academic Program Coordinator (emails, enrollments, etc.). Assist with directories and office assignments as needed.

Requirements

  • Knowledge typically acquired through a high school education with coursework in typing and shorthand.
  • One to three years of related and progressively more responsible work experience in word processing, spreadsheet, database, desktop publishing, calendaring, and/or presentation software.
  • Proficiency in typing and filing; may require technical training related to the field of employment.
  • Equivalent combination of education and experience will be considered.

Qualifications

  • Experience in undergraduate student affairs.
  • Experience with SIS/Registrar office systems and knowledge of procedures (drops/adds/overrides).
  • Proficiency in maintaining and reporting data.
  • Experience with EBS finance system.
  • Strong communication skills.
  • Proficient in MS Office Suite and Adobe.
  • Leadership skills.

Schedule

Standard 8:00 AM – 5:00 PM.
