About the Role

Provide exceptional customer service as front office receptionist for integrated student medical and mental health clinics. Utilizing electronic medical records, student enrollment records, and common office equipment and software, you will support clinic operations by managing patient flow, scheduling, payments, and records.

Responsibilities

  • Manage patient care flow for three clinics by answering phones, scheduling appointments, ensuring completion of patient intake requirements, taking payments, and notifying providers of patient arrival.
  • Assist patients with the registration process, including obtaining demographic information, checking eligibility in Banner, and helping complete required documents on the patient portal or paper forms.
  • Enter patient intake information into the electronic medical record (Medicat), ensuring accuracy and completeness; scan documents into records as needed.
  • Assemble and maintain accurate medical information by compiling and updating electronic and/or physical patient records.
  • Answer the Center for Health and Counseling main telephone lines; assist staff and patients professionally.
  • Greet patients professionally in person and on the phone; quickly answer or properly refer questions and issues.
  • Optimize provider schedules and patient satisfaction with efficient scheduling; anticipate patient anxieties and provide updates.
  • Ensure availability of treatment information by filing, retrieving, and updating patient records.
  • Obtain revenue by collecting and recording payments, monitoring account balances, and explaining copayments and balance limits to patients.
  • Protect patients' rights by maintaining confidentiality of personal and financial information.
  • Maintain office inventory and equipment by checking stock, anticipating supply needs, placing orders, verifying receipt, and scheduling equipment service and repairs.
  • Facilitate communication between medical and mental health providers and patients.
  • Maintain patient accounts by obtaining, recording, and updating personal, medical, and financial information.
  • Maintain operations by following policies and procedures; report needed changes.
  • Contribute to team effort by reporting and assisting in resolving clinic process issues.
  • Attend staff meetings and participate in required College and center-specific trainings.
  • Travel between clinics to attend to supply needs and maintain a clean, organized workspace.
  • Perform other duties as assigned.

Qualifications

  • High School Diploma or equivalent.
  • One (1) year experience working in an office setting in a receptionist/front desk role. Part-time experience may be considered on a prorated basis.

Preferred Qualifications

  • Business office-specific education or training.
  • Proficiency in a language in addition to English.
  • A valid driver’s license.
