Position Summary
About the role
Performs a range of administrative duties in support of the Leadership team of the assigned Department. Maintains strict confidentiality. Must have the ability to work well under pressure and maintain composure with a professional demeanor.
Responsibilities
- Responsible for clerical duties, communication, and reception duties.
- Captures patient visit information for device follow-up at the time of implant surgery and subsequent follow-up visits.
- Coordinates patient visits for device follow-up at the time of implant surgery and subsequent follow-up visits.
- Obtains clearances for outside the Guthrie Network for requested MRI orders.
- Works with other departments to help them understand the MRI clearance process.
- Handles Veteran’s Administration referrals, obtaining and maintaining VA referrals for the Arrhythmia Center.
- Ensures home transmissions are working correctly, working with patients, patient's families, and Guthrie's Information Technologies team.
- Enters device information to all device websites, obtaining outside Guthrie’s Network device information when needed.
- Manages EPIC Workqueue for the department, including Referral Requests and appointments, Referral/Authorizations, and Edits Required for Billing.
- Schedules same-day appointments in Cardiology and Arrhythmia Center for urgent visits.
- Schedules patients into the Electrophysiology Laboratory for device issues.
- Prepares consults, obtaining device information from the patient, device company, or where it was implanted.
- Timekeeper within ATA for the department.
- Demonstrates adept computer skills with various forms of documentation.
- Able to multi-task and prioritize work in accordance with changing deadlines, including the ability to overcome objectives and manage projects to a close.
- Aids in maintaining accurate records, reports, and correspondence.
- Aids in typing and preparing memos, reports, and financial information.
- Arranges meetings and appointments, including scheduling of conference rooms.
- Aids in compiling statistical data and financial reports assigned, submitting billing.
Requirements
High school education or GED required. Previous experience with patient interaction in the health care setting is preferred. Must demonstrate computer skills utilizing word processing and spreadsheets.
