About The Position

This is a temporary, additional staff support position for the Spring Storm Season, limited to a maximum of 1000 working hours. There are no county benefits associated with this position. This is an entry-level secretarial/administrative role requiring good judgment and discretion to handle confidential information and data. The position provides administrative, clerical, and receptionist duties in the Multi Modal Transportation Division within the Office of Storm Drain Maintenance under the supervision of the Office Manager.

About The Agency

The Department of Public Works and Transportation (DPW&T) is responsible for nearly 2,000 miles of County-maintained roadways, including 900 bridges, sidewalks, curbs, gutters, stormwater management facilities, and nearly 3,000 acres of grassy areas. DPW&T’s workforce performs a range of activities such as snow and ice removal, traffic signal upgrades, streetlight installation, tree clearing, drainage maintenance, and roadway repairs.

Responsibilities

  • Provides general administrative and clerical support, including preparing letters, memoranda, reports, correspondence, and other office materials.
  • Types, proofreads, and prepares correspondence and documents to ensure accuracy and professional presentation.
  • Prepares materials for mailing, filing, distribution, and recordkeeping.
  • Maintains and manages office databases, files, records, and logs, including entering, updating, deleting, and organizing information.
  • Produces weekly, monthly, and quarterly reports using information maintained in office databases.
  • Distributes correspondence, documents, and attachments to appropriate personnel and maintains accurate office files.
  • Provides receptionist and customer service support by greeting visitors, answering telephone calls, taking messages, and directing inquiries.
  • Responds to routine telephone inquiries regarding services, policies, procedures, and office operations.
  • Schedules appointments and assists with coordinating office activities while avoiding scheduling conflicts.
  • Maintains office supplies, conducts routine inventory, and coordinates the acquisition of needed supplies.
  • Maintains timekeeping logs for seasonal employees and assists with reviewing timesheets for accuracy.
  • Monitors approaching deadlines and provides timely reminders to staff.
  • Performs assignments in accordance with County policies, administrative procedures, and established deadlines.
  • Performs other related administrative and clerical duties consistent with the responsibilities of the classification.
  • Serves as a critical/essential employee and participates in the Department’s Snow and Ice Control Program and other emergency or special operations as assigned, including responding promptly to call-outs.
  • Must possess and maintain a valid driver’s license in accordance with applicable County requirements.

Required Emergency Operations

  • Participates as an essential employee in the Department's Snow and Ice Control Program and other emergency or special activities.
  • Promptly responds to assigned tasks when notified of reporting requirements for inclement weather/emergency conditions.

Qualifications

  • High school diploma or G.E.D. certificate with coursework in typing, office practices, or other related clerical subjects.
  • One (1) year of advanced diverse and/or technical clerical experience, which must have involved working with the public for at least six (6) months.
  • An equivalent combination of education, experience, and training that provides the required knowledge, skills, and abilities may be considered.

Salary Range: The salary range reflects the offer range for this position, with offers based on qualifications, experience, and internal equity.

Job Location: Forestville, Glendale, or Brandywine Facility.

Conditions of Employment: Upon selection, the candidate must (where applicable):

  • Pass an administered Administrative Aide exam (unless previously passed on or after 8/1/2024).
  • Meet all training and performance standards and demonstrate proficiency as required by the agency.
  • Wear and use agency protective apparel and equipment in the performance of assigned duties.
  • Successfully pass preemployment checks, which may include reference checks, background investigations, and drug screenings.
  • Be willing and able to serve as an essential employee in the department's Snow and Ice Control Program and during other emergency/special activities as assigned.
