About the Role
The Scheduling Representative is responsible for making appointments for patients following medical practice procedures. Tasks may be integrated into other positions such as receptionist, registration clerk, or medical assistant.
Responsibilities
- Schedule patient appointments in accordance with medical practice protocols
- Maintain master appointment schedule using manual or computerized systems
- Communicate effectively with physicians and clinicians about scheduling preferences
- Produce reports on appointment patterns as needed
- Handle phone calls, in-office patients, and staff interactions pleasantly while multitasking
- Communicate calmly and clearly with patients regarding appointments, including during emergencies or when patients are ill
- Analyze situations and respond appropriately
Requirements
- High school diploma or general equivalency diploma (GED)
- Minimum one year of experience in an appointment scheduling position
Skills
- Knowledge of medical practice protocols related to scheduling appointments
- Knowledge of manual and computerized scheduling systems
- Understanding of customer service principles and techniques
- Effective communication with physicians, clinicians, and patients
- Ability to multitask and maintain composure in high-pressure situations
