Scheduling Coordinator, Infusion Center, Full time, Days
About the Role
The Infusion Center Scheduling Coordinator performs infusion scheduling and various routine clerical tasks to support the Infusion Center Department. This role schedules and coordinates all infusions, blood transfusions, and injection appointments, tracks and manages scheduling changes and cancellations, and ensures valid authorization is obtained and matches physicians’ orders. The coordinator may handle insurance inquiries, explain deductibles and payments, and work closely with the Clinical Nurse Manager, Clinical Director, Charge Nurse, Financial Counselor, and nursing team to troubleshoot and resolve problems. The role involves direct interaction with clinic staff and patients to provide information, complete documentation, and maintain positive relationships with patients, family members, and visitors.
Responsibilities
- Schedule and coordinate infusion, blood transfusion, and injection appointments.
- Track and manage all scheduling changes and cancellations.
- Ensure valid authorization is obtained and attached to appointments, matching physicians’ orders.
- Handle insurance inquiries and explain deductibles and payments as needed.
- Work closely with nursing and administrative teams to troubleshoot and resolve scheduling or patient-related issues.
- Provide administrative support and triage calls to appropriate staff.
- Interact directly with clinic staff and patients to provide information and complete documentation for quality care.
- Maintain positive relationships with patients, family members, visitors, and colleagues.
Requirements
- Medical scheduling experience.
- Knowledge of major medical insurance plans, HMO procedures, and medical terminology.
- Experience with ICD-10 CM and CPT coding systems.
- Ability to maintain composure and balance multiple priorities in a fast-paced environment.
Skills
- Knowledge of medical/surgical terminology and procedures.
- Strong knowledge of computers, practice management systems, Microsoft Office programs, and electronic health records systems.
- Excellent organizational and interpersonal skills.
- Ability to handle multiple tasks with interruptions and multitask effectively.
- Critical thinking and problem-solving skills.
- Use of customer service principles and practices.
- Strong English communication skills; bilingual ability is helpful.
- Excellent grammar, punctuation, proofreading, editing, and composition skills.
Qualifications
- Preferred: High school diploma or GED.
- Preferred: Minimum 2 years of front office experience.
- Preferred: Experience in oncology scheduling processes.
Pay
$23.00–$32.18 per hour.
