What You Will Do
- Cook up and maintain daily and weekly schedules for therapists across multiple locations and home-based sessions
- Pair therapists with clients based on availability, location, skill set, language, and clinical needs
- Keep an eye on schedule changes in real time, including cancellations, no-shows, last-minute requests, and therapist call-outs
- Fill open sessions to boost therapist productivity and meet client care goals
- Pass along schedule updates to therapists, families, and leadership in a timely manner
- Work with Clinical Directors and Operations leaders to align schedules with authorization hours, treatment plans, and staffing needs
- Keep the scheduling system/EMR up to date and ensure data integrity
- Track important scheduling metrics like cancellations, utilization, and coverage gaps
- Think ahead to avoid scheduling conflicts and find solutions that benefit both families and teammates
- Help out with special projects aimed at improving the scheduling process as the organization expands
What You Bring
- Two or more years of experience in scheduling, coordination, or operations support
- Experience in healthcare, therapy, ABA, medical office, home health, or multi-site scheduling is a big plus
- Proven ability to handle high-volume, complex schedules with many variables
- Sharp organizational skills with a keen eye for detail and follow-through
- Comfortable working in a fast-paced, rapidly changing environment
- Clear and professional communication skills, both written and verbal
- Experience using scheduling platforms, EMR systems, or similar tools is helpful
- A collaborative, solution-focused mindset and a positive attitude
- A high level of integrity, confidentiality, and respect for families and teammates
Preferred Qualifications
- Experience in ABA, behavioral health, healthcare administration, or a related field
- Familiarity with insurance authorizations, visit limits, and productivity targets
- Prior work supporting a multi-location or field-based workforce
- Bilingual skills (English, Spanish) are a plus
