About the role
This full-time Scheduler position supports our Kerrville, TX clinic. Under direct supervision, you will schedule patient appointments and tests efficiently, answer incoming calls, and serve as a liaison between patients and medical staff. Responsibilities may include outside scheduling and/or surgical scheduling.
Responsibilities
- Answers all incoming calls; assesses callers’ needs and directs to appropriate personnel, paging clinic staff as needed.
- Obtains and communicates messages accurately and timely.
- Schedules new patients, referrals, and returning patients in the computer system according to physician and office guidelines.
- Sets up new or referred patients in the system with appropriate documentation and coding.
- Cancels or reschedules appointments based on physician schedule changes and notifies clinic personnel.
- Obtains and enters insurance authorizations and referral correspondence into patient charts or electronic medical records (EMR).
- Collects co-pays, deductibles, and other out-of-pocket amounts at the time of visit.
- Maintains the primary office scheduling template, including physician meetings, satellite schedules, rounding, and call coverage.
- Arranges financial counseling for patients as needed.
- Demonstrates an understanding of patient confidentiality.
- Follows policies and procedures to contribute to front office efficiency and covers other front office functions as requested.
- Prepares correspondence, memos, forms, and other typing tasks as requested by the supervisor.
- May schedule outpatient appointments, testing, surgeries, and hospital admissions, obtaining necessary pre-certification.
- May communicate with patients about scheduled surgeries or tests, including prep work, and gather necessary information.
- May follow up on pre-operative tests to ensure clearance for surgical procedures and communicate with physicians and patients if further testing is required.
- May schedule post-operative follow-up appointments with physicians.
- Where applicable, demonstrates a basic understanding of medical terminology for tests and surgical procedures, including coding, and looks up codes specific to diagnosis, surgery, and scheduling.
Requirements
- High school diploma or equivalent required.
- 0–3 years of experience, preferably in a medical office setting (Level 1).
- Minimum three years of office experience, preferably in a medical office setting (Level 2).
- Minimum five years of office experience, preferably in a medical office setting, with knowledge of medical terminology and coding required (Level Sr).
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office (Outlook, Word, Excel).
Physical Demands
- Work may require sitting for long periods, as well as stooping, bending, and stretching for files and supplies.
- Occasionally lifts files or paper weighing up to 30 pounds.
- Requires manual dexterity to operate a keyboard, calculator, telephone, copier, and other office equipment.
- Vision must be correctable to 20/20, and hearing must be within normal range for telephone contacts.
- Must be able to view and type on computer screens for prolonged periods.
