About the role
The Scheduler I position at GI Alliance is under the supervision of the Practice Administrator and Scheduling Team Lead. The primary responsibility is to schedule office and procedure appointments for various physicians and ancillary providers.
Responsibilities
- Answering incoming calls through the telephone system to schedule appointments.
- Confirming the accuracy of basic demographic information from all patients using established guidelines.
- Becoming proficient in all aspects of gGastro EHR and accurately scheduling appointments according to practice guidelines.
- Actively reviewing and working gGastro tasks daily.
- Reviewing and checking physician schedules for accuracy on a daily basis.
- Contacting hospitals as needed to obtain appropriate anesthesia and anesthesia case numbers and documenting accordingly.
- Accurately obtaining Medicare patients' signed ABN (Advanced Beneficiary Notice) when necessary according to Medicare guidelines.
- Mailing out New Patients packet information and Scheduling Prep forms.
- Accurately documenting necessary appointment information in accordance with established practice guidelines.
- Obtaining necessary Medical Clearance Forms from Primary Care Physician offices.
- Completing other duties as directed by Administrator, Office Manager, Scheduling Team Lead, or Physicians.
Qualifications
- High school diploma or equivalent required.
- Minimum 3 - 5 years’ experience in a medical office with a strong understanding of scheduling both office and procedure appointments.
- Excellent written and verbal communication skills.
- Excellent customer service skills are required.
- Experience working in a medical office.
- Detail-oriented.
- Basic understanding of healthcare plans.
- Ability to read and understand medical benefits.
- Bilingual is a plus.
Requirements for Level I Status
- Entry level (1-4 years experience) and/or meet the basic requirements of the job with the need for additional supervision.
- Excess of 4 years experience if meeting only the basic requirements of the job with need for additional supervision.
- Excellent communication skills, both written and verbal.
- Proficient technical (computer) skills.
- Ability to multi-task and prioritize.
- Self-motivated with initiative.
- Strong sense of ethics.
Physical Demands
- Range of body motion including, manual and finger dexterity sufficient to operate a computer keyboard, and eye-hand coordination.
- Occasionally lifting and carrying items weighing up to 40 lbs.
- Requires vision correctable to 20/20 and hearing correctable to normal range for telephone contacts.
- May require sitting for extended periods of time.
- Exposure to communicable disease, medical preparations, and other conditions common to a gastroenterology clinic environment.
