The Opportunity

The Scheduler coordinates and schedules complex patient appointments, procedures, tests, and other services within a healthcare facility. The responsibilities of this position include scheduling appointments, coordinating services, verifying insurance, and ensuring all pre-emptive appointment requirements have been obtained.

Key Responsibilities

  • Schedule Appointments: Schedule services with complex scheduling needs, including tests, procedures, and treatments, in adherence with department guidelines and preferences.
  • Maintain and efficiently manage all referral work queues for scheduling incoming patient appointments.
  • Apply in-depth knowledge of assigned specialty to review appointment notes and assess patient scheduling needs (e.g., subspecialty, physician, or appointment type).
  • Collaborate with clinic staff, leadership, and providers to provide exceptional customer service to all patients.
  • Routinely communicate with patients regarding appointment details and provide instructions or education for tests and procedures as needed.
  • Assist with co-worker training and serve as a mentor.
  • Ongoing participation in process improvement or special projects.
  • Update provider schedules/templates as needed.
  • Achieve target scores within set department metrics.

Key Responsibilities – Ambulatory Only

  • Verify patient insurance eligibility and determine patient financial accountability according to policy.
  • Ensure prior authorization has been obtained and communicated to all appropriate parties and documented on the patient account.
  • Ensure all pre-emptive requirements for scheduled appointment has been obtained, including prior testing, records, and other documentation.
