About the Role
This position monitors and assists in controlling incoming and outgoing vehicles, shipments, and containers through the use of scale and software systems. All activity must be accurately documented on scale tickets, bills of lading, purchase orders, packing slips, and related paperwork.
Responsibilities
- Enthusiastically greet customers and ascertain material grade, including all necessary paperwork, to safely direct incoming loads to proper locations throughout the facility.
- Ensure accurate documentation of all inbound and outbound scale transactions by weighing vehicles, carriers, and company vehicles on the main scale. Record supplier/truck/car identification, contract number (if applicable), material description and grade, gross/tare/net weights, and discharge location.
- Accurately record load deductions (non-conforming material), apply re-pricing as directed by Buyers, and print/distribute scale tickets as required.
- Maintain daily records of all purchases and sales transactions, including proper assignment of purchase and sales order numbers to inbound and outbound material.
- Process scale payments, including adjustments; contact Buyers to adjust or add contracts; remove temporary pricing; address and mail payments per customer request; fax scale tickets to customers as needed.
- Create, issue, and submit checks to the proper signing authority with backup documentation and distribute as requested. Issue cash payments for customers requiring immediate payment.
- Manage difficult customer situations effectively and professionally. Answer and redirect calls on the main telephone line.
- Maintain constant radio contact with yard personnel, including awareness of emergency calls and proper handling of various situations.
- Implement and maintain safe work procedures, ensuring all guests adhere to proper PPE requirements.
- Consistently monitor and operate the main yard arm.
- Keep the work area organized by processing and filing paperwork neatly, maintaining cleanliness and orderliness of the scale house and workstations according to 5S Standards.
- Review, file, and fax all scale tickets daily and as required prior to the end of the shift (Afternoon Shift).
- Accurately weigh in Public Scale tickets, understanding cash receipts or billing to the appropriate customer.
- Perform daily cash reconciliation.
Requirements
- Basic MS Office computer skills.
- Strong communication skills and ability to multitask accurately in a fast-paced environment.
- Excellent telephone skills and professional demeanor when dealing with customers, carriers, and company drivers.
- Ability to recognize various materials and develop viable distribution plans for customers on the scale.
