About the role
Catholic Charities of Orange, Sullivan & Ulster is seeking a part-time Prevention Aide for the Sullivan County Prevention Program. This role provides independent, organized, and detail-oriented administrative support to the Director of Prevention Services, assisting with office functions, reporting compliance, and emerging youth coalitions in Sullivan County.
Responsibilities
- Assist the Director with fiscal responsibilities, including department program purchases, internal budget tracking, and organization of spending across multiple funding lines.
- Ensure compliance of internal reporting for the department, such as monthly activity tracking.
- Coordinate community and departmental trainings and maintain all training records/certifications for prevention department staff with HR.
- Provide support to the prevention department at the direction of the Director, including:
- Creating and maintaining a filing system and accurate list of books/pamphlets in the Prevention library.
- Providing administrative support (copying, scanning, typing, etc.).
- Assisting with meeting agendas and minutes for committees chaired by the Director of Prevention.
- Managing inventory and maintaining office supplies for the Sullivan County department.
- Preparing and coordinating materials for meetings and special projects.
- Assist in planning and implementing community events and trainings.
- Create and maintain records of community contacts with regular email communication for and with the Director of Prevention.
- Support the development of emerging youth coalitions in Sullivan County, including creating outreach materials (flyers/forms), tracking meeting attendance, and managing social media.
- Maintain a calendar of outreach and community events.
- Perform other duties as assigned by the Director of Prevention.
Schedule
This is a part-time position. Additional hours and occasional weekend/evening hours may be required to meet program deadlines. Schedule flexibility and reliable transportation are required.
Working Conditions
- Use of a computer for at least 60% of the time.
- Operate office productivity equipment, including photocopier, scanner, laminator, shredder, and printer.
- Ability to lift at least 20 pounds.
- Frequent sitting, standing, walking, talking, bending, lifting, and stooping.
- Climbing stairs and entering/exiting buildings to access other locations or public spaces.
- Local travel within Sullivan County and occasionally outside county limits.
Requirements
- GED/High School Diploma (required).
- Associate’s degree in a related field (preferred).
- A minimum of two years’ office administration experience with MS Office expertise.
Skills
- Ability to work with a diverse range of people, including youth, parents, community leaders, and faith-based organizations.
- Excellent oral and written communication skills for interacting with staff, outside agencies, and the community.
- Proficiency in Microsoft products (Word, Excel, PowerPoint).
- Typing speed of at least 55 WPM.
- Bilingual skills (a plus).
Pay
$23.00 per hour. No benefits.
