About the role
The Sales Support Specialist reports directly to the Customer Experience Manager and partners with Regional Sales Managers to deliver proactive support for key customers and the broader sales team. This role owns customer relationships from purchase order review through order fulfillment, drives reporting and process improvements, and ensures seamless cross-functional coordination across business brands.
Responsibilities
- Collaborate with Regional Sales Managers to align on sales plans and customer needs, elevating proactive support levels.
- Own customer relationships by reviewing purchase orders, updating order statuses, and tracking production schedules to meet customer commitments.
- Create and maintain open-order reports; document changes in the ERP system to keep stakeholders informed.
- Respond to customer inquiries on the same business day via phone and email.
- Gather real-time order updates and revised purchase order approvals to accommodate fluid customer requirements.
- Make independent decisions centered on customer impact while protecting operational integrity.
- Develop improved business processes with deep working knowledge of functions that intersect with the order-to-invoice cycle.
- Increase customer confidence by supplying accurate product and order information and protecting operations through error-free transactions.
- Input data into the ERP system and strive for 100% accuracy in all transactions.
- Work cross-functionally across brands to keep customers informed and Regional Sales Managers fully supported.
- Proactively search and run ERP reports to keep the sales team informed and orders moving within lead times.
- Cross-train other Sales Support Specialists to close knowledge gaps and ensure coverage.
- Drive process changes and deepen internal and external relationships.
- Accept additional responsibilities as requested by the Customer Experience Manager.
Technical expertise
- Proficient in Microsoft Office, especially Excel; familiarity with Word and Outlook.
- SAP knowledge is a plus.
- Exceptional attention to detail.
Education & experience
- High school diploma; university degree or qualified work experience.
- Minimum five years of customer service experience.
- Minimum two years of related sales support experience.
- Knowledge of customer service principles and practices.
- Experience communicating through multiple channels and handling multiple customer queries.
- Proficiency with standard office applications (Word, Excel, PowerPoint, etc.).
Other qualifications
- Language skills: ability to read, write, and speak English.
- Mathematical skills: command of basic math concepts.
- Reasoning ability: skill in defining problems, collecting data, establishing facts, and drawing valid conclusions.
- Physical demands: ability to stand, walk, sit; reach and use arms, hands, and fingers; ability to hear.
- Work environment: moderately quiet office conditions.
