Sales Coordinator - Quoting & Project Coordination
About the role
You’re the person who keeps the details—and the project—on track. You notice when information is missing, follow up without being reminded, and enjoy turning a complicated request into a clear next step. You take pride in accurate work and like knowing that your organization helps customers and teammates avoid unnecessary delays. If you enjoy supporting sales, coordinating moving parts, and making sure nothing falls through the cracks, this role could be a strong fit. Speedrack West is hiring a Sales Coordinator to help move warehouse-storage projects from initial quote through delivery and installation. The focus is accurate quoting, dependable follow-through, and project coordination—not cold outreach.
Responsibilities
- Work closely with Account Executives, Sales Engineering, Operations, and customers.
- Gather missing details for a quote.
- Update a project’s next steps in HubSpot.
- Coordinate delivery or installation requirements with Operations.
- Perform much of the work at a computer using spreadsheets, CRM software, quoting tools, and task‑management systems.
- Balance several requests, keep records current, and flag risks early so the right people can act before a deadline is missed.
- Prepare and revise quotes for standard, moderately complex, and approved complex projects.
- Gather project requirements and clarify missing information before quotes move forward.
- Keep HubSpot deals, tasks, customer activity, and next steps accurate and current.
- Maintain complete quote and order documentation in Exact Online.
- Coordinate fulfillment, delivery, installation, and other post‑sale requirements.
- Communicate with assigned customers while keeping the Account Executive or Strategic Account Closer informed.
- Identify scheduling risks, incomplete handoffs, and missing information, then involve the appropriate team members.
- Complete occasional local customer or jobsite visits as needed; travel is up to 10%.
- Ensure quotes are accurate, complete, and delivered within agreed turnaround times.
- Make sure assigned requests have a clear owner, due date, status, and next step.
- Maintain customer and project records that help the whole team understand what needs to happen next.
- Provide customers with timely updates without requiring them to chase the team.
- Raise missing details and potential delays early.
Requirements
- At least two years of experience in sales support, quoting, estimating, order management, or project coordination.
- Strong attention to detail, organization, and consistent follow‑through.
- Clear written communication and confidence speaking with customers and colleagues.
- Comfort learning and working daily with spreadsheets, CRM platforms, and business software.
- Ability to reprioritize calmly and communicate when deadlines or requirements change.
Skills
- Experience with HubSpot, Exact Online, ClickUp, or similar tools is a plus.
- Experience in material handling, warehouse equipment, industrial distribution, construction supply, or B2B project sales is helpful, but not required.
