Sales Assistant

This position provides administrative and clerical support to financial representative(s), requiring excellent customer service skills to assist advisors and clients reliably, efficiently, and professionally. The role is onsite four days per week in Horsham, PA.

Responsibilities

• Client Servicing:
  • Ensure clients are promptly, courteously, and professionally serviced, resolving questions and problems effectively.
  • Handle client contact via phone and email, documenting interactions in CRM.
  • Assist clients with service needs, including account questions, changes, loans, and withdrawals.
  • Keep the financial representative informed of significant client issues.
  • Refer complex questions to the financial representative and relay responses to clients.
  • Prepare and submit client paperwork and financial transactions.
  • Forward sales opportunities to the financial representative.
• Appointment Preparation:
  • Prepare client information and schedule appointments based on requests.
  • Conduct post-appointment follow-up, including summary correspondence, additional paperwork, and review.
• Paperwork:
  • Review paperwork for accuracy and submit for processing.
  • Follow up on submitted paperwork and resolve issues with the home office.
  • Escalate operational issues to the branch administrator and report error trends.
  • Generate paperwork for loan requests and send to clients.
  • Follow up on outstanding client paperwork.
  • Submit correspondence and sales material to compliance for review.
• Other/General:
  • Execute marketing tasks, including monthly newsletters and greeting cards.
  • Draft correspondence and maintain the financial representative’s calendar.
  • Prepare for seminars and monitor incoming/outgoing mail.
  • Stay updated on industry and company rules and regulations.
  • Attend branch operations meetings and sales assistant conferences as needed.
  • Complete other projects and tasks as assigned.

Requirements

• At least 2 years of experience in financial services and/or similar sales or advisor support roles.
• Customer service experience.
• Familiarity with the Pershing clearing and custody platform preferred.
• Knowledge of mutual funds and retirement plans.
• Bachelor’s degree in a related field or equivalent combination of education and experience preferred.
• Series 6 or 7 license required (may be obtained within 6 months of employment as a condition of continued employment).
