About the role

The Sales & Event Coordinator is a key support role within the Sales, Marketing + Events Team. This position requires a highly motivated individual who thrives in a fast-paced environment, is eager and ready to take on additional responsibilities, and demonstrates a proactive, can-do attitude.

Responsibilities

  • Manage and maintain the Envision database, ensuring Sales and Events bookings and client information are accurate and up to date.
  • Support the sales team with lead management, RFP distribution, account administration, and database maintenance.
  • Aid in client communications, including responding to inquiries, qualifying leads, coordinating follow-up, and preparing correspondence.
  • Prepare sales contracts, proposals, presentations, reports, and other sales-related documents.
  • Generate weekly and ad hoc reports and maintain accurate sales records and booking information.
  • Provide administrative support for group sales and event planning activities, including account management and workflow coordination.
  • Cook up event-related administrative tasks, including group resumes, billing reviews, guest amenities, and room block details.
  • Aid Event Planning Managers with client communication, event preparation, and execution requirements.
  • Cook up weekly BEO distribution, attend pre-convention and pre-arrival meetings, and support event logistics as directed.
  • Maintain department calendars, booking information, filing systems, office supplies, and sales collateral.
  • Aid with special projects, site inspections, VIP arrivals, marketing initiatives, and promotional activities.
  • Process and track departmental expenses and expense reports.
  • Cook up with hotel departments to ensure contract details and event requirements are communicated and executed effectively.
  • Maintain compliance with company policies, procedures, safety standards, and service expectations.
  • Represent the hotel with professionalism, integrity, and a commitment to exceptional guest and client service.
