Aerodyn Engineering is seeking a Sales Administrator to manage the quote-to-order cycle for aerospace and defense customers. This role bridges the gap between customers, engineering, and the shop floor, ensuring accuracy and efficiency in a fast-paced environment.

Responsibilities
- Review incoming RFQs for accuracy, create projects, and enter data into the ERP system alongside Project Managers.
- Prepare and send customer quotes, following up and tracking win/loss feedback.
- Enter orders into the ERP system, matching customer POs to ERP data and creating Contract Reviews.
- Assign projects and set up new customers in the ERP system, including credit holds and billing details.
- Maintain a daily RFQ and Win/Loss tracking report.
- Assist with weekly/monthly sales and marketing reporting.
- Manage customer files and orders, keeping electronic copies organized on the network drive for audit purposes.
- Apply ITAR/export and security compliance requirements within the ERP system.
- Send customer invoices after shipment completion.
- Maintain and update the CRM platform.
- Support monthly data analysis for Quality Objectives (Quote Win/Loss, Customer Retention).
- Create and assign tasks via the workflow management tool, tracking statuses and following up.
- Help implement and drive adoption of new workflow processes with Quality, Project Management, and Leadership.
- Assist the Sales & Marketing Operations Manager with company events.
Requirements
- Prior experience in sales administration, order entry, or a similar customer-facing/administrative role preferred.
- Familiarity with ERP and CRM systems preferred; Epicor experience is a plus.
- Strong attention to detail, especially around compliance and documentation accuracy.
- Strong oral and written communication skills.
- Strong PC skills and proficiency in Microsoft Office (Excel, PowerPoint, Word & Outlook).
- Must be self-directed, highly organized, and comfortable managing multiple priorities at once.
- Must demonstrate the ability to act professionally with customers and internal teams alike.
Skills
- Comfortable owning a fast-moving pipeline of RFQs, quotes, and orders without letting details slip.
- Proactive — follow up with customers and internal teams without being asked twice.
- Attention to detail that compliance-heavy, precision industries demand.
- Comfortable learning and working across multiple systems: ERP, CRM, and workflow management tools.
- Clear and professional communication with customers and internal teams.
