About the role
The Safety & Compliance Coordinator assists the DOT Safety & Compliance Team in ensuring compliance in driver onboarding, driver qualification, and maintenance of DOT required compliance records. This includes reviewing, evaluating, collecting data, and coordinating safety programs. The coordinator also instructs drivers in matters pertaining to traffic and safety regulations, company policies, penalties, and care of equipment.
Responsibilities
- Answer phone calls for any Safety-related calls, assist the caller and/or route them appropriately.
- Email/request time off when a driver turns in request for free week of liability insurance.
- Update various faxes that come into the group email boxes – OR route them to the proper person for handling.
- Complete Employment Verification requests for terminated drivers’ prospective employers per FMCSR.
- Driver Liaison - Activate/block fuel card activity, assist with loan request, driver status updates, etc.
- Avoid approving invoices for various safety items and reconcile drivers on invoices.
- Answer (research) any questions from drivers on GWIMove messaging.
- Review and assess all driver applicant qualification documents for accuracy and completeness.
- Request and review background investigation reports such as MVR’s, CDLIS, and PSP reports to ensure accuracy and completeness.
- Track all driver credentials (License, Haz-Mat Endorsement, Medical Cards, etc) and send expiring/renewal notification reports to drivers and team supervisors.
- Avoid assisting in the Driver Annual Review process to include request for MVR’s and distribution/collection of certificates of violation.
- Avoid assisting in completing all driver safety performance history checks and DOT drug/alcohol history checks.
- Avoid assisting in populating and managing Third Party software to ensure all driver credentials and files are compliant with FMCSRA.
- Avoid assisting in populating the Driver Safety Performance Tracking spreadsheets and other reports for trending by month and year.
- Avoid conducting new driver basic hazardous materials, security awareness, and security plan training.
- Avoid conducting driver re-training based on need per company policy.
- Avoid conducting periodic self-auditing of all DOT driver qualification files and records to ensure compliance.
- Assist with other job duties as assigned.
Requirements
- Knowledge, Skills, and Abilities:
- Must possess an amiable personality with the communication & writing skills necessary to interface with various people on a daily basis.
- Must be a self-starter and willing to work with minimal supervision.
- Communicating in a way to convey information effectively, understand points being made, ask questions as appropriate, and use logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
- The candidate must be able to teach others, persuade others to change minds or behavior, and actively look for ways to help people.
- General knowledge of OSHA, Occupational Safety Health Administration Regulations.
- The candidate must follow good organizational skills with the ability to prioritize with limited supervision.
- Minimum Qualifications:
- Dependable and self-motivated.
- Intermediate skills in Excel, Word, Outlook, and related computer software.
- Effective written and verbal communication skills.
- OSHA 10-hr Training.
- Some working knowledge of FMCSR as it relates to driver qualification and related safety & compliance issues.
