About the role
As our HSEQ Administrator, you’ll be the operational backbone of Arena’s safety program, keeping our teams compliant, prepared, and protected across every project site, warehouse, and field operation we run. You’ll own the HSEQ Safety Hub on SharePoint, coordinate Site-Specific Safety Plans for projects ranging from the PGA Tour to FIFA events, maintain training and certification records, and produce the dashboards and reports leadership relies on. This is a high-visibility coordination role where your attention to detail directly impacts the safety of people on the ground.
Responsibilities
- Safety Planning & Site Documentation — Partner with Project Managers 60–90 days before each project kicks off to coordinate Site-Specific Safety Plans (SSSPs). Ensure every plan is uploaded, current, and aligned with Arena SOPs and client requirements for events like the PGA Tour, USGA, IOC, and FIFA.
- HSEQ Safety Hub Administration — Serve as the primary admin for our SharePoint-based HSEQ Safety Hub. Keep SOPs, forms, alerts, and project files organized and accessible, and lead adoption of new tools and digital workflows across the team.
- Compliance & Records Management — Maintain training and certification records (PIT, MEWP, OSHA), track incidents and near misses, support ISO 45001 alignment, and coordinate post-incident documentation.
- Data, Reporting & Continuous Improvement — Build and maintain Excel/Power BI dashboards tracking incident trends, training compliance, and TRIR. Prepare monthly and quarterly HSEQ reports and coordinate PSIF review meetings.
- General HSEQ Support — Coordinate meetings, communications, vendor relationships (training providers, medical services), PPE planning, and signage procurement.
Requirements
- Associate’s or Bachelor’s degree in Occupational Health & Safety, Environmental Science, Business Administration, or related field — or equivalent work experience
- 2+ years in an administrative, compliance, or safety-support role
- Strong proficiency in Microsoft Office Suite — especially Excel, Teams, and SharePoint — with sharp attention to data accuracy
- Demonstrated ability to juggle multiple deadlines with strong written and verbal communication skills
- Working knowledge of OSHA regulations and general safety compliance principles
Skills
- Experience in event production, construction, logistics, or other project-based operations environments (bonus)
- Familiarity with ISO 45001 or other safety management systems (bonus)
- Experience with Power BI or similar data visualization tools (bonus)
- OSHA 10 or OSHA 30 certification (bonus)
