About the role

Design and own Marco’s real-time demand-to-capacity program. Partner with service leaders and work across Service Delivery Coordinators, Project Coordinators, and Project Managers to match every work order and project engagement to the right resource quickly. Build the system, forecasting discipline, and reporting that make the process repeatable.

Responsible for overall workforce scheduling and capacity planning, providing quality services and solutions to internal and external clients while maintaining a high level of client satisfaction.

Responsibilities

  • Own and continuously improve Marco’s real-time demand-to-capacity program — a single system of record for capacity, skills, and availability across field and project resources, replacing manual, spreadsheet-based tracking.
  • Match incoming projects and work orders to the right resource based on availability, skill set, and customer segmentation/priority tier, ensuring assignment is fast and consistent rather than a judgment call.
  • Partner with sales, pre-sales, and PMO leadership to forecast upcoming demand (including forward-looking pipeline) and identify capacity gaps before they impact delivery. Drive integration across CRM, resourcing, and PMO systems so data lives in one place.
  • Monitor utilization in real time, setting thresholds and alerts for over-allocation (burnout risk) and under-allocation (bench risk) across coordinators and project managers.
  • Publish and maintain honest, tier-based lead times — with a clear, limited expedite path — so sales can set accurate client expectations.
  • Run a standing capacity review cadence with delivery leadership that drives real hiring and reallocation decisions. Escalate resourcing conflicts, capacity shortfalls, or hiring needs with clear recommendations.
  • Close the loop on forecasting accuracy by comparing actual hours and outcomes to original estimates, feeding learnings back into the model. Publish regular capacity/utilization reporting for leadership.
  • Take direction from leadership and others involved with special projects.
  • Accurately maintain and comply with documentation and administrative procedures, including time entry processes.
  • Attend required company and departmental meetings.

Requirements

  • Bachelor’s degree in business, project management, or a related field preferred; 5+ years of experience in resource/capacity planning, project management operations, or a related field required.
  • Equivalent combination of education and experience will be considered, with deep hands-on experience weighted heavily.
  • PMP, CAPM, or similar resource/project management certification is a plus but not required.

Skills

  • Resourcing & Capacity Planning: Ability to forecast demand, balance workloads, monitor utilization in real time, and match the right resource to the right project quickly, using MS Office, resourcing/PPM systems, and other company-specific tools.
  • Communication: Strong communication skills, ability to develop and maintain collaborative relationships at all levels of an organization, and effective listening.
  • Commitment: Ability to see a project or task from start to finish, maintaining energy and dedication despite difficulty, failure, or opposition.
  • Organization: Ability to use time, energy, and resources effectively to achieve intended goals.
  • Relationships: Effective at building trust, finding common ground, having emotional empathy, and building good relationships.
  • Teamwork: Ability to work with others on combined tasks, contribute to shared responsibilities, and collaborate on outcomes.
  • Time Management: Ability to prioritize tasks, multitask, and adapt to changing priorities to meet deadlines.
  • Enthusiasm: Display excitement and a positive attitude toward work assignments, vendors, clients, and the organization.
  • Flexibility: Adapt to changes in the work environment, adjust methods to handle unexpected situations, and remain calm while thinking and articulating thoughts quickly.
  • Emotion Regulation: Ability to manage emotions, especially negative ones, to think clearly and act objectively.
  • Critical Thinking: Analyze and evaluate facts to make intelligent decisions, identify commonalities, and recognize logical relationships.
