Essential Job Duties and Responsibilities
- Support the achievement of overall revenue, event, and donor engagement goals.
- Key metrics will be set each year to align with the Board of Directors’ priorities and goals.
- Working in partnership with the Resource Development Manager, the Events, Marketing & Business Development Coordinator will:
- Manage day-to-day marketing and communications activities, ensuring timely execution of projects, campaigns, and organizational initiatives.
- Serve as the primary coordinator for marketing requests, managing project workflows with the marketing consultant through Basecamp and regular planning meetings.
- Manage organizational social media channels, including content proofreading, design review coordination, content scheduling, publishing, and audience engagement.
- Develop, design, and distribute digital communications, including newsletters, email campaigns, donor communications, press releases, articles, and other marketing materials.
- Maintain and update website content and other digital platforms, ensuring information is current, accurate, and aligned with organizational priorities.
- Care for marketing and communication logistics for organizational campaigns, events, and initiatives.
- Maintain event, campaign, and program information across all communication channels and digital platforms.
- Coordinate the creation of sponsorship packages, donor impact reports, presentations, stewardship materials, and other organizational collateral.
- Ensure organizational branding standards and messaging are consistently applied across all communications, campaigns, and events.
- Gather and organize stories, photos, testimonials, and other content to support fundraising, stewardship, marketing, and community engagement efforts.
- Track and coordinate communication deliverables, deadlines, approvals, and distribution schedules with internal stakeholders and external partners.
- Coordinate logistics for all fundraising events, donor recognition events and activities, and special meetings.
- Manage event timelines, checklists, registrations, venue coordination, catering, audiovisual requirements, and vendor communications.
- Aid in event budgeting, expense tracking, and reconciliation.
- Recruit, schedule, and support event volunteers.
- Coordinate sponsor benefits fulfillment, including signage, recognition, and event participation.
- Maintain event records and prepare post-event evaluations and reports.
- Support event committees through meeting scheduling, agenda preparation, minutes, and follow-up.
- Keep up to date on emerging trends and opportunities and align with UW resource development goals.
- Research prospective corporate sponsors, workplace campaign partners, and community partners.
- Maintain prospect lists and sponsorship pipelines in the CRM.
- Aid in preparing sponsorship proposals, presentations, and stewardship reports.
- Schedule sponsorship, donor, and partner meetings for the manager.
- Track sponsorship commitments, deliverables, and renewals.
- Support cultivation activities and follow-up communications with prospective partners.
- Enter and maintain sponsor, prospect, event, and partner information in Andar.
- Track event participation, sponsorship revenue, and business development activities.
- Generate reports related to events, sponsorships, marketing activities, and prospect pipelines.
- Ensure accurate documentation of interactions, commitments, and outcomes.
- Aid in volunteer training, recognition efforts, and tracking; reporting quarterly.
- Aid in departmental reporting and KPI tracking.
- Identify networking, chamber, and community engagement opportunities that may generate new revenue streams.
- Represent United Way at community meetings, workplace campaigns, presentations, and events when needed, serving as a professional and informed ambassador.
- Make relevant presentations to a variety of groups and individuals.
- Support volunteer recruitment, orientation, recognition, and engagement activities.
- Care for stewardship activities that deepen relationships with sponsors, donors, and community partners.
- Aid in donor and sponsor recognition initiatives throughout the year.
- Other duties as needed to ensure relevant communication tools are in use and that events and meetings are successful.
