About the role

The Resource Assistant provides administrative, legal support, records management, and recruiting coordination assistance across the firm. This role works closely with attorneys, legal assistants, Human Resources, and administrative staff while gaining exposure to multiple areas of the firm. The position is ideal for a motivated individual interested in developing skills that may lead to future opportunities for other professional staff roles within the organization.

Responsibilities

  • Records Management and Administrative Support
    • Assist attorneys, legal assistants, and staff with electronic document management, including scanning, filing, indexing, and organizing records within firm systems.
    • Perform file maintenance and assist with opening, organizing, updating, and closing client and matter files.
    • Support administrative projects and operational initiatives as assigned.
    • Deliver exceptional internal and external customer service while maintaining professionalism and confidentiality.
  • Legal Support Functions
    • Enter, review, and update attorney time entries as needed.
    • Prepare, edit, proofread, and distribute legal documents, correspondence, pleadings, memoranda, and other professional communications.
    • Process conflicts checks, new business intake forms, and other administrative workflows.
    • Assist with docketing deadlines, maintaining calendars, and tracking important dates as directed.
    • Provide backup support for Legal Assistants during absences, high-volume periods, and special projects.
  • Recruiting and Human Resources Support
    • Coordinate and schedule candidate interviews, including communicating with candidates, hiring managers, and interview teams.
    • Assist with posting open positions on the firm's career page, job boards, and recruiting platforms.
    • Conduct preliminary resume reviews and assist in identifying qualified candidates for consideration.
    • Maintain applicant records and recruiting documentation in accordance with firm procedures.
    • Assist with onboarding activities for new hires, including preparing onboarding materials, coordinating orientation schedules, scheduling training sessions, and supporting other onboarding-related activities as needed.
    • Maintain the confidentiality of employee, applicant, and firm information.

Requirements

  • High school diploma or equivalent required.
  • Previous administrative experience preferred.
  • We are willing to train a motivated individual who demonstrates strong organizational skills, professionalism, and a desire to learn.
