About the role

The Residential Screening & Audit Specialist manages centralized prospective resident application screening, verification, and compliance auditing across the residential portfolio. This role ensures consistent application of company screening criteria, Fair Housing compliance, and file integrity through standardized processes.

Responsibilities

  • Review and process rental applications across assigned portfolios.
  • Run and evaluate credit, criminal, eviction, and legal presence screenings in accordance with company criteria.
  • Verify income and employment, including VOE review when offer letters are submitted.
  • Apply company screening standards consistently and document all determinations.
  • Approve or deny applications that clearly meet established criteria.
  • Review and submit conditional approval requests to the Compliance Manager with supporting documentation.
  • Maintain complete and accurate Fair Housing compliance documentation for all application decisions.
  • Serve as the primary point of contact following leasing handoff for application screening status and next steps.
  • Perform cross-portfolio file audits to ensure application, lease, and renewal compliance.
  • Audit renewals and leases prepared by on-site teams for accuracy, completeness, and adherence to company and regulatory standards.
  • Identify documentation gaps, inconsistencies, or compliance risks and support corrective actions.
  • Coordinate with Resident Services Coordinators and Leasing Consultants post-approval to support welcome letter creation and lease generation.
  • Track application processing timelines and workflow through Rent Café and the CRMIQ dashboard.
  • Utilize ticketing workflows to document back-and-forth communication, processing delays, and resolution rationale.
  • Adhere to standard processing timelines, with applications typically completed within two business days once all required documentation is received.
  • Participate in portfolio coverage structure to ensure uninterrupted application processing.
  • Provide cross-coverage between East and West portfolios during absences.
  • Coverage & Continuity
  • Work closely with Residential Operations, Compliance, Leasing, and Accounting teams to ensure alignment and accuracy.
  • Escalate compliance concerns, conditional approvals, and audit findings in a timely and professional manner.
  • Provide reporting and data support related to application volume, processing timelines, and audit outcomes as requested.
  • Support special projects, operational reviews, and process improvement initiatives related to resident screening and compliance.

  • Ability to work independently and prioritize effectively in a fast-paced environment with a strong sense of urgency.
  • Ability to relay technical concerns with adequate detail, quickly and accurately.
  • Ability to use general office equipment, such as telephone, fax machine, printer, copier, and key track system.
  • Strong organizational and time management skills.
  • Ability to cope with and defuse situations involving angry or difficult people.
  • Must maintain a valid driver’s license, clean driving record and current auto insurance.
  • Must comply with all safety requirements.
  • Sensitivity to confidential matters is required.

Qualifications

  • Bachelor's degree required or Minimum of five (5) years of progressive multifamily property management experience.
  • Industry designations such as CAM, APM, etc. are favorable.
  • Two to three years of previous residential accounting or management experience is preferred.
  • Knowledgeable with Microsoft Office Suite including Outlook, Word, PowerPoint, and Excel.
  • Experience with Yardi Voyager or another equivalent system is preferred.

Physical Requirements

  • Ability to lift, push and pull up to 25 pounds.
  • Ability to walk around the property several times daily, up to 5 miles a day.
  • Ability to walk on uneven surfaces.
  • Ability to climb several flights of stairs several times daily.
  • Hearing and visual ability to observe and detect signs of emergency are required.
  • Ability to sit, stand, reach, bend, and stoop for extended periods of time.
  • Ability to use standard maintenance equipment.
  • Talking and expressing or exchanging ideas by means of the spoken word.
  • Ability to receive detailed information through oral communication, and to make discriminations in sounds.
  • Ability to compare, copy, coordinate, synthesize, negotiate, communicate, and instruct.
  • Ability to tolerate stressful situations.
  • Ability to work under minimal to moderate supervision.
