About the role

The Residential Manager is directly responsible for ensuring a safe and healthy environment that fosters communication, a sense of well-being, empowerment and support to the consumers supported by the program. The Manager is responsible for overall management of the residential site(s) they supervise and all staff working in the site/group(s).

Responsibilities

  • Provide front line supervision of all site staff.
  • Meet regularly with and provide supervision to each site employee to provide skill training and mentoring that supports staff development and document and address any identified needs for improvement.
  • Manage site scheduling including all callouts, no-shows and time-off requests to provide coverage as needed.
  • Interview and make recommendations regarding new DSP candidates.
  • Participate in and attend all planning and team meetings for each consumer.
  • Respond appropriately to crisis situations by notifying the appropriate persons, completing/submitting incident reports.
  • Report any medical concerns to the unit leadership and/or agency nurse immediately.
  • Develop and coordinate the planning of monthly consumer activities and ensure their implementation, providing required funds.
  • Overall day to day Management of units and sites as prescribed in ISP or treatment plans.
  • Manage, monitor, and reconcile all site and consumer-related expenditures.
  • Oversee the maintenance, upkeep and safety of the physical site and site vehicles, reporting needed repairs, upkeep and conditions to the Unit Director.
  • Monitor and ensure the timely completion of all site documentation (logs, medications, inventories, incident reports, assessments, progress van logs etc.) and communicate issues and/or problems directly to Program Director.
  • Ensure home is prepared for State licensing visits including consumer files, medication records, and physical site.

Other responsibilities

  • Oversight of multiple CLAs to include an equal amount of ratio time in all sites.
  • Read and respond to emails within 24 hours.
  • Participate in quality inspections on all shifts.
  • Supervise and direct the work of Assistant Residential Coordinator and Residential Specialists to include the following:
    • Schedule and attend consumer medical appointments.
    • Complete requirements to become a Medication Administration Observer.
    • Monitor medications for refills and reconcile cycle medications upon delivery prior to the start of each month.
    • Ensure staff administering medications have completed and are current in medication administration training.
    • On Call Responsibility.
    • Plan with another Residential Coordinator/Assistant Residential Coordinator for call coverage if unavailable for calls.
    • Complete required training and training hours.
    • Conduct and observe medication practicums for employees.
    • Conduct in-home orientation and individual-specific training for all new employees.
    • Review Critical Information Book.
    • Ensure all signatures on required documentation are complete to include the EHR System.
    • Conduct Getting to Know Me and other annual individual-specific training for all employees.
    • On-Site Orientation.
    • Conduct Competency-Based Training for current employees.
    • Understand the skill application of DSP competency.
    • Leadership competency training.
    • Become credentialed per state regulations.
    • Maintain home according to state-specific regulations and agency policy.
    • Maintain consumer files and records according to state-specific regulations and agency policy.
    • Maintain staff training according to state regulations and agency policy.
    • Review all CLA EHR a minimum of 5 days a week.
    • Elevate any concerns to the immediate supervisor.
    • Review progress notes and ensure completion.
    • Complete program oversight as assigned.
    • File medical appointment forms (MAF).
    • Complete food shopping and maintain food supply in the CLA.
    • Provide explanations with regard to Time Over/Time Under for hours worked in the CLA compared to the budget.
    • Monitor clock-in and clock-out of DSPs in the payroll management system.
    • Keep overtime to a minimum.
    • Monitor proper completion of all required paperwork and EHR documentation.
    • Complete monthly fire drills by the designated date.
    • Assist with vehicle training and wheelchair securement training for employees working at the CLA and operating the vehicle.
    • We don’t have staff in PA certified to do this. Must have someone who’s certified to provide this training.
    • Must be competent in the level of need assessments, such as SIS Assessments, ICAP scoring, etc., depending on the state.
    • Appropriately manage consumer funds and petty cash per regulations.

Qualifications

  • Well-organized and detail-oriented.

  • Leadership and management skills.
  • Resident relations and retention.
  • Knowledge and understanding of state and federal regulations regarding group home/ residential care.
  • Behavioral issue management and crisis intervention skills.
  • Compliance with regulatory standards.
  • Proficiency in direct supervision, developmental disabilities care and medication administration.
  • Life-saving measures (CPR) and first aid certifications.
  • Budget management.
  • Previous supervisor/management experience in group home/residential setting.
  • Medical terminology knowledge.
  • Demonstrates a strong working knowledge of the appropriate regulations, Apis values and program policies and procedures.
  • Basic computer and internet literacy with the ability to utilize applications like emails, time recording and other programs to enter and retrieve data as necessary to perform the essential functions of the job.
  • Valid non-provisional driver’s license and personal vehicle with state minimum liability insurance coverage.

Job Qualifications

  • Bachelor's Degree required.
  • Minimum 5-6 years' experience in related field or working with individuals with developmental disabilities, mental illness or drug and alcohol recovery program.
  • Current driver’s license, driver registration and a functional vehicle.
