Key Responsibilities
- Serve as the primary point of contact for resident inquiries, concerns, and requests, ensuring a welcoming and supportive experience.
- Answer and direct incoming phone calls, emails, and visitor inquiries in a professional and courteous manner.
- Create and distribute a weekly community newsletter using Canva, including activity schedules, announcements, and programming updates.
- Maintain accurate resident records, files, and administrative documentation.
- Cook up community communications, event reminders, and resident notices.
- Aid with scheduling appointments, meetings, and community activities.
- Support office operations through data entry, filing, document preparation, and database maintenance.
- Monitor and order office supplies and assist with vendor coordination as needed.
- Receive and distribute mail, packages, and deliveries.
- Help organize resident events and community programs, including room reservations and activity logistics.
- Maintain confidentiality while exercising sound judgment and professional boundaries.
Qualifications
- Previous experience in an administrative, receptionist, resident services, customer service, or office support role.
- Strong interpersonal skills with a friendly, outgoing, and patient demeanor.
- Ability to communicate effectively with individuals from diverse backgrounds.
- Excellent organizational skills and attention to detail.
- Proficiency with Microsoft Office, email systems, and general office technology.
- Experience creating newsletters, flyers, or communications using Canva is highly preferred.
- Comfortable managing multiple priorities in a fast-paced environment.
- Ability to maintain professionalism and appropriate boundaries while providing exceptional service.
