About the Role
We are looking for a highly motivated and enthusiastic individual to join our growing organization as a Resident Event & Social Director for an Active Adult community. This role centers on planning and managing events and activities of varying sizes and purposes, ensuring logistics, budget adherence, vendor coordination, and smooth execution. The ideal candidate is a career-oriented team player who thrives in a collaborative environment and is passionate about fostering a sense of community and promoting resident well-being.
Responsibilities
- Execute the creative planning, promotion, and implementation of recreational activities, including financial and time constraints, with multiple resident engagement activities daily.
- Ensure timely delivery of birthday cards to all residents for the current month.
- Provide excellent customer service and communication to residents, family members, and visitors while promoting the community’s values.
- Manage events and address potential problems that may impact the integrity of activities.
- Monitor Clubhouse usage and coordinate rental schedules.
- Track event/program enrollment by distributing quarterly surveys to evaluate success and gather suggestions for new events.
- Innovate and plan new events, host and attend all events, and include them in monthly newsletters and resident emails.
- Perform special projects and other duties as assigned by the Property Manager.
- Work a flexible schedule, including split shifts, evenings, weekends, and holidays as required by events.
- Establish and maintain relationships with vendors and venues, including contract negotiation (execution by RPM) to secure favorable terms, and ensure vendor compliance.
- Provide budgeting feedback to the Property Manager, including input for the upcoming year’s budget preparation.
- Create detailed recaps of all events through social media postings and adhere to weekly/monthly social media benchmarks.
- Develop and maintain a new resident orientation to ensure a seamless move-in process.
- Prepare and distribute monthly activity schedules and newsletters, using Canva for content creation.
Additional Responsibilities
- Assist with leasing and marketing activities as needed, including:
- Performing sales and leasing activities to achieve revenue and occupancy goals, such as greeting prospects, conducting tours, processing applications, and preparing leases.
- Inspecting apartments prior to move-in to ensure they are ready and scheduling maintenance as needed.
- Designing and executing marketing activities to drive traffic, including resident referral programs, internet marketing (Craigslist, Facebook, email), and community-specific campaigns.
- Using property management software (OneSite, Yardi, etc.) to track apartment availability, leasing activities, and resident data.
- Ensuring the community and show units meet company standards for presentation and appeal.
- Following up with prospects and new residents to ensure satisfaction and finalize leasing decisions.
- Executing lease renewal programs, including preparing renewal letters and meeting with residents.
- Responding promptly and courteously to resident concerns and documenting requests.
Requirements
- Proven experience as a Resident Event & Social Director or Activities Director.
- A track record of organizing successful events.
- Proficiency in MS Office.
- Excellent vendor management skills.
- Outstanding communication and negotiation abilities.
- Strong organizational and multitasking skills.
- Ability to handle stress and remain calm under pressure.
- Problem-solving skills.
- Degree in hospitality management or public relations with a focus on event management.
Working Conditions
Incumbents work in an office environment but may have frequent exposure to outside elements where temperature, weather, odors, and/or landscape may be unpleasant and/or hazardous.
