About the role

The Residency Program Coordinator for the Internal Medicine Residency Program at UChicago Medicine Ingalls Memorial Hospital supports the Program Director in operational and financial management of the training program. This role involves interpreting accreditation policies, overseeing committees, and managing various administrative tasks.

Responsibilities

  • Meets regularly with the Program Director to guide significant program issues.
  • Interprets ACGME, National, and State accrediting policies to ensure compliance.
  • Administers Clinical Competency Committee, Program Evaluation Committee, and Residency Selection Committee meetings.
  • Provides administrative supervision and support to residents.
  • Acts as a liaison between residents and administration, ensuring compliance with ACGME requirements.
  • Initiates and maintains Program Letters of Agreement and necessary documents for outside rotations.
  • Orchestrates the recruitment process, coordinates events on interview day, and manages the Match process.
  • Coordinates orientation for new residents, manages national data base systems, and tracks resident information.
  • Manages resident tracking, evaluations, duty hours, and files.
  • Verifies trainees' certification for temporary licenses, processes visa paperwork, attends ACGME meetings, and distributes schedules.
  • Facilitates and oversees payments of petty cash and major purchases.
  • Affords assistance in ACGME Self Study, Site Visit, and CLER visits.
  • Plans annual department events, graduation, and outings.
  • Informs residents of policy and procedure changes.
  • Updates the annual Residency Manual and coordinates training program requirements.
  • Ensures compliance with licensing, moonlighting, annual contracts, and initial/re-credentialing of trainees.

Requirements

  • Minimum requirements include a college or university degree in a related field.
  • Previous experience within an Academic Medical Center environment and in graduate medical education is preferred.

  • Ability to handle public contacts with courtesy, clarity, and diplomacy.
  • Ability to handle sensitive and confidential situations and information with absolute discretion.
  • Excellent problem-solving skills.
  • Ability to follow an issue through to resolution.
  • Considerable skill in working both independently and as a team member.
  • Proficiency with word processing applications, spreadsheets, and databases.
  • High attention to detail and the ability to perform multiple tasks, and excellent organizational skills.
  • Independence in decision making and judgment, ability to work with minimal supervision, and function both as a team member and be involved in program problem solving.

Skills

  • Knowledge and skills developed through 2-5 years of work experience in a related job discipline.
