Reporting to the Coordinator, the Residence Manager oversees the day-to-day operations of a residential program serving people with developmental disabilities. In collaboration with the Coordinator, this role provides leadership, vision, and direction in client services, program development, fiscal management, regulatory compliance, physical plant management, and program staffing.
Responsibilities
Operational Management and Safety
- Ensure the residence complies with all applicable regulations and organizational policies and procedures.
- Develop and submit monthly schedules to the Coordinator and DOP, ensuring adequate coverage based on needs, and publish bi-weekly to staff.
- Complete monthly inventory and purchase necessary food and supplies from approved vendors, ensuring dietary needs are met.
- Reconcile orders with deliveries, sign, and send invoices to the central office.
- Manage the facility’s petty cash, reconcile biweekly, and ensure proper documentation and utilization of funds.
- Ensure timely documentation and reporting of incidents, including quarterly trend submissions, SCIP forms, and other required notifications.
- Develop an observation schedule in accordance with agency standards, publish and upload the schedule and observation forms to SharePoint, and follow up on reviews.
- Maintain the facility by completing the monthly agency maintenance checklist, conducting daily inspections for cleanliness and hazards, and submitting work orders for repairs as needed.
- Develop fire drill schedules according to regulatory standards, review drills, and ensure appropriate paperwork is processed.
- Implement systems to ensure programs meet and exceed regulatory standards, and that staff follow all state, federal, and HeartShare internal policies.
- Ensure programs pass internal HeartShare surveys and OPWDD surveys/audits without 45 or 60-day letters.
Staff Supervision and Development
- Recruit, hire, and train residential staff according to regulations and agency guidelines, prioritizing hiring in partnership with Human Resources.
- Ensure staff receive appropriate certification/recertification, recommend training for skill development, and track attendance and completion.
- Complete staff evaluations and performance reviews according to agency policies and procedures.
- Manage employee time and attendance, review and approve timecards, vacation, and other requests in Paycom.
- Conduct daily reviews of PrecisionCare (Pcare), ensure timely completion, and coordinate with the Services Support Coordinator (SSC) team to monitor compliance and prevent overuse of DCE.
Program and Service Development
- Develop and publish a monthly community inclusion calendar.
- Review inclusion logs weekly to ensure proper documentation.
- Ensure medical and clinical meetings occur according to agency expectations and standards.
- Schedule appointments based on medical meetings, record and provide meeting notes, and follow up on recommendations.
- Participate in and follow up on recommendations from Day Program and Life Plan Meetings.
Incident Management
- Daily check for occurrences, review for accuracy, and complete necessary follow-up, including notifications and medical follow-up.
- Monthly ensure all items needed to close out occurrences are present, such as investigation summaries and statements.
- Submit items to SRC to address investigator and SRC recommendations, field questions, and attend SRC meetings as needed.
- Submit SCIP forms, trends, and other required documents.
Requirements
- High School Diploma/GED required; Bachelor’s degree preferred.
- Minimum two years of supervisory experience in a residential program.
- Five years of experience in developmental disabilities or a related field.
- Must work varied shifts, including at least one weekend day per workweek.
- Driving is required.
