Greeting and Check-in
Greet and check in research subjects and inform study team of subject arrival.
Scheduling and Transportation
- Responsible for the scheduling of appointments, check-out processes, and scheduling transportation for subjects as needed.
Administrative Tasks
- Input routine subject data and manage administrative tasks as needed for supervisors.
Workflow Management
- Aid in the workflow of the clinical studies daily schedule by ensuring the Physicians and study staff are available at the appropriate time slots for each subject visit.
- Maintain regular communication with clinical and research teams to ensure smooth operations.
Other Duties
- Other duties assigned on an as needed basis delegated by Supervisor.
Skills and Abilities
- Proficiency in patient interaction skills, such as maintaining a welcoming demeanor while handling multiple tasks.
- Understanding of basic administrative systems while gaining proficiency with scheduling, data entry, and communication software.
- Master multiple computer systems including Google Workspace, Excel, and Teams.
- Ability to develop and maintain strong relationships with physicians, coworkers and patients.
- Demonstrated effectiveness showing courtesy, diligence, integrity, and teamwork in alignment with ARA core values-Serving with Compassion, Striving for Excellence, and Practicing Humility.
- Excellent organizational and time management skills ensuring all tasks are completed in a timely manner satisfactory to the organization with ability to independently manage workflow.
- Strong interpersonal skills including effective listening, clear communication, effective customer problem resolution with warm encouraging demeanor, able to relate well with others.
Experience and Education
- Experience in medical office front desk or administration.
- Demonstrated warm demeanor when greeting and interacting with patients and staff. Smiles and readily approaches patients to welcome them.
- Ability to develop and maintain effective relationships at work even in a high-paced, sometimes high-stress environment.
- Bilingual in Spanish.
- EMR & CTM experience a plus.

Monday - Friday
Pay and Benefits
- Hourly pay, FLSA non-exempt, eligible for overtime.
Physical Demands
- Prolonged sitting, talking and hearing both in person and by telephone;
- Use hands to finger, handle and feel objects or controls;
- Reach with hands and arms;
- Regularly required to stoop, kneel, bend, crouch and lift up to 15 pounds on occasion.
