About the Role
We are seeking a detail-oriented Research Administrative Coordinator to provide administrative and coordination support for a research-focused team. This individual will work with volunteer committees, internal staff, and various stakeholders to coordinate meetings, maintain schedules, prepare materials, track follow-up items, and assist with upcoming retreats and events. The ideal candidate is organized, proactive, dependable, and comfortable managing multiple priorities while communicating with a wide range of individuals.
Responsibilities
- Coordinate administrative activities for multiple volunteer committees and working groups.
- Collect availability and organize meetings involving participants across different time zones.
- Develop, organize, and distribute meeting materials, including agendas, presentations, and supporting documents.
- Record meeting discussions, decisions, and action items and assist with appropriate follow-up.
- Help assign and monitor deliverables based on requests from volunteer and staff leads.
- Assist with forming and organizing volunteer groups in coordination with internal teams.
- Provide administrative support related to contracts, agreements, and committee documentation.
- Manage scheduling logistics for internal staff meetings and group calls.
- Assist with planning and coordinating department retreats taking place in October and December.
- Support event logistics, including meeting space, catering, team activities, and other onsite arrangements.
- Provide general administrative assistance and support additional projects as needed.
Qualifications
- 1–2 years of experience in an administrative, coordinator, or related support position.
- Strong organizational and time-management abilities.
- Excellent attention to detail and ability to follow through on assignments.
- Strong written and verbal communication skills.
- Ability to coordinate effectively with multiple stakeholders.
- Proficiency with Microsoft Office Suite.
- Experience arranging meetings or calls with larger groups is preferred.
- Experience coordinating domestic and international meetings with 12+ participants is a strong plus.
- Previous experience supporting events, retreats, off-site meetings, or team activities is preferred.
- Bachelor's degree is preferred but not required.
Work Arrangement
- Primarily remote.
- First day onsite, with occasional in-person attendance as needed.
- Requires consistent weekday availability during preferred working hours (10:00 AM–2:00 PM ET or 12:00 PM–4:00 PM ET, with some flexibility).
Pay
$24–$28 per hour
Schedule
20 hours per week, Monday–Friday. Preferred availability is either 10:00 AM–2:00 PM ET or 12:00 PM–4:00 PM ET. Some flexibility is available.
