About the Role
The Research Administrative Coordinator at OneOncology plays a vital role in supporting our research initiatives by providing high-level administrative and operational assistance to the VP of Research and related departments. Reporting directly to the VP, Clinical Research, this position ensures smooth coordination across various research teams, facilitates communication between internal and external stakeholders, and manages essential administrative functions. The Coordinator will handle calendar management, meeting organization, documentation, and reporting tasks, contributing to the efficient execution of research projects and departmental objectives. This role offers an exciting opportunity for a detail-oriented professional to be a key contributor in advancing our research efforts, supporting clinical trials, and promoting our mission to improve patient outcomes through innovative research activities.
Qualifications
- Bachelor's degree required
- Prior exposure to the research industry (preferred)
- Experience in providing administrative support within a clinical research or healthcare setting (highly preferred)
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
- Knowledge of project management tools (preferred)
- Strong organizational and multi-tasking skills
- Excellent communication and interpersonal skills
- Ability to work effectively cross-functionally and independently
- Attention to detail and ability to manage multiple priorities
- Attendance and punctuality are essential
Responsibilities
- Provide comprehensive administrative support to the VP, Research, including managing calendars, scheduling meetings, and coordinating travel logistics
- Handle correspondence, prepare reports, and assist with presentation development for departmental and sponsor meetings
- Organize and facilitate departmental meetings, including preparing agendas, taking minutes, and following up on action items
- Support the creation of KPI dashboards and performance reports by aggregating and analyzing site and platform data
- Assist with project tracking, document management, and interdepartmental communication to ensure alignment and timely execution of research initiatives
- Oversee contractor documentation, monitor contract timelines, and coordinate vendor and pay rate requests through ContractWorks
- Support expense reporting, travel arrangements, and planning of team events to foster team engagement and operational efficiency
- Act as a liaison between research leadership and external stakeholders to facilitate meetings and collaborative efforts
- Coordinate initiatives across research departments, ensuring project alignment, progress tracking, and impact measurement
- Support internal communications, including maintaining and updating the OneR website, and collaborating with marketing on research promotion and branding efforts
- Assist with general administrative duties and ad hoc tasks to support the research team's goals and organizational growth
