About the Opportunity

The Remote Scheduling Specialist is responsible for coordinating and managing appointments, meetings, and project timelines to ensure smooth operational flow. This role supports communication between teams and clients, directly contributing to the organization's efficiency and successful project delivery.

Responsibilities

  • Manage and maintain calendars for multiple team members including meetings, deadlines, and events.
  • Cook up scheduling requests from clients, vendors, and internal staff, ensuring availability and resolving conflicts.
  • Communicate schedule changes promptly and clearly to all relevant parties.
  • Organize virtual meetings and conference calls, including sending reminders and preparing materials.
  • Track and document scheduling data to identify trends and improve planning.
  • Collaborate with cross-functional teams to support project milestones and deadlines.
  • Use scheduling software and tools to streamline calendar management and reporting.

Requirements

  • Experience in scheduling, calendar management, or administrative support, preferably remote.
  • Strong organizational skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency with scheduling tools such as Google Calendar, Microsoft Outlook, or Calendly.
  • Able to multitask and prioritize competing demands.
  • Comfortable working independently and in teams remotely.
  • Basic knowledge of project management software is a plus.
