Responsibilities

  • Prepare, organize, and submit permit applications to the appropriate authorities for roadway, highway, and utilities projects.
  • Coordinate permit-related activities with internal teams such as design, engineering, and project management to ensure all technical and administrative requirements are met.
  • Collaborate with external stakeholders, including government agencies and regulatory bodies, to obtain necessary approvals and resolve permit-related issues.
  • Maintain accurate, up-to-date records of all permits, licenses, and associated documentation in an organized and accessible manner.
  • Review all permit documentation for completeness and compliance before submission to minimize errors and avoid delays.
  • Track the status of permit applications and proactively follow up with relevant agencies and departments to ensure timely processing.
  • Liaise with various departments to communicate permit requirements, timelines, and any changes impacting project schedules.
  • Prepare for and coordinate required inspections related to permits, including scheduling, documentation, and communication with inspectors.
  • Gather and organize evidence and documentation to address any permit violations or compliance concerns that may arise.
  • Support project administration tasks related to permitting, including data entry, reporting, and project analysis to support decision-making.

Requirements

  • Minimum 2+ years of permit coordination experience in the utilities industry.
  • Demonstrated experience with permitting and permit application processes for roadway, highway, and utility-related projects.
  • Knowledge of working with transportation and roadway authorities, including familiarity with txDot-related permitting.
  • Experience in utilities coordination to align permitting activities with utility project requirements.
  • Strong skills in project administration, including organizing tasks, managing timelines, and supporting project teams.
  • Proficiency in data entry with a high degree of accuracy for maintaining permit records and project information.
  • Ability to perform project analysis related to permitting to support project planning and compliance tracking.
  • Strong Excel and Microsoft Office skills to manage tracking spreadsheets, reports, and documentation.
  • Effective written and verbal communication skills to liaise with internal teams and external agencies.
  • Strong attention to detail and ability to ensure all documentation is complete, accurate, and compliant.

Skills

  • Experience coordinating with government agencies and regulatory bodies for roadway, highway, or utility permits.
  • Familiarity with inspection processes related to permits, including scheduling and documentation requirements.
  • Ability to manage multiple permit applications simultaneously while meeting deadlines.
  • Strong organizational and time management skills to handle a high volume of documentation and coordination tasks.
  • Capability to identify and resolve issues that may cause delays in permit processing or inspections.
  • Experience working within cross-functional project teams in an office-based environment.
  • Comfort with using Microsoft Office tools beyond Excel, such as Word and Outlook, for communication and documentation.

Work Environment

This is a remote role with 40 hours per week. You will need to travel for the first day for training. The position involves frequent use of computers and Microsoft Office applications, particularly Excel, to manage permit documentation, tracking, and communication. The work setting supports collaboration with project teams and regular interaction with external agencies.

Pay

The pay range for this position is $25.00 - $26.00/hr.
