Key Responsibilities
- Accurately enter, update, and maintain information in company databases, spreadsheets, and internal systems.
- Review documents for completeness and accuracy before entering data into company records.
- Verify data by comparing source documents with system information and correcting discrepancies when necessary.
- Process customer, employee, vendor, shipment, and operational records while maintaining strict confidentiality.
- Organize electronic files and maintain accurate digital records in accordance with company policies.
- Prepare reports, spreadsheets, and data summaries for various departments as requested.
- Monitor data quality by identifying errors, inconsistencies, and duplicate records.
- Communicate with internal departments to obtain missing or corrected information when necessary.
- Maintain accurate records of completed work and meet established productivity and accuracy standards.
- Auxiliary with document scanning, electronic filing, and record management projects.
- Perform routine audits to ensure data integrity across multiple systems.
- Support administrative projects and other operational tasks as assigned.
- Follow company policies regarding confidentiality, security, and data protection.
- Prioritize multiple assignments while meeting deadlines with minimal supervision.
- Participate in training sessions and process improvement initiatives.
Required Qualifications
- A high school diploma or equivalent required.
- An associate's or bachelor's degree in Business Administration, Information Management, or a related field is preferred.
- Previous experience in data entry, administrative support, office administration, records management, or clerical work is preferred.
- Excellent typing skills with a minimum typing speed of 50 words per minute and a high level of accuracy.
- Strong attention to detail and exceptional organizational skills.
- Proficiency with Microsoft Office 365, including Excel, Word, Outlook, and Teams.
- Experience working with spreadsheets, databases, and web-based business applications.
- Ability to identify and correct data inconsistencies with minimal supervision.
- Strong written and verbal communication skills.
- Excellent time management and ability to prioritize multiple assignments.
- Ability to maintain confidentiality while handling sensitive information.
- A reliable high-speed internet connection and a dedicated home office suitable for remote work.
- The ability to work independently while collaborating effectively with team members.
Preferred Qualifications
- Experience using enterprise resource planning (ERP) systems or database management software.
- Experience working in transportation, logistics, warehousing, or supply chain operations.
- Knowledge of document management systems and electronic records retention.
- Experience with Microsoft SharePoint, Adobe Acrobat, or similar document management tools.
- Familiarity with customer relationship management (CRM) systems.
